The Town of East Greenbush is currently seeking applications to fill the Full-Time position of Deputy Clerk/Deputy Registrar in the Town Clerk’s Office.
MINIMUM REQUIREMENTS
A serious applicant must possess the accuracy and efficiency necessary to carry out accountable professional administrative responsibilities. The ideal candidate shall have prior experience in a fast-paced professional office and strong communication abilities along with attention to detail. Work schedule consists of 35 hours per week – Monday-Friday, 8:30-4:30. Only residents of the Town of East Greenbush are eligible to apply. Notary Public preferred; or recommended to obtain.
DISTINGUISHING FEATURES OF THE JOB
The Deputy Clerk/Deputy Registrar works closely with, and under the direction of the Town Clerk, and alongside the Part-Time Clerk.
TYPICAL WORK ACTIVITIES
Provide a high level of in-person, over the phone, or email service with professionalism and in a positive manner to the public and Town staff.
Assist residents daily with multiple transactions and data entry in the Town Clerk’s software – Transfer Station permits, handicap tags, dog licenses, certified copies, miscellaneous
As Deputy Registrar, confidentiality is a must in issuing marriage licenses and processing birth/death certificates
When Town Clerk is unavailable, attend night-time Town Board meetings
Assist Town Clerk with Oath of Office requirements
Deposits for all Town Hall offices – online banking and in person at bank
Assist with daily/monthly reconciliations/check processing
Assist with FOIL request process – For Town Hall Departments and Police Department
Affirm/process Certificate of Residency forms
Issuance of DEC hunting and fishing licenses
Assist with Hometown Heroes Veteran Program application process
Enter and retrieve data from computer with sufficient speed and accuracy
Assist with tracking of monthly dog license renewals
Filing and scanning documents/plans as needed
Records Room/Database support in maintaining/updating inactive records
Complete marriage license packets as needed
Run reports as requested
Perform other duties as assigned – at times for other departments as needed
GENERAL STATEMENT OF DUTIES
Assist Town Clerk and Part-Time Clerk in numerous phases of all office responsibilities
Perform routine office and administrative tasks
Professionalism with the ability to go back and forth between tasks as interruptions occur
Assist with organizing and maintaining paper and electronic files
REQUIRED KNOWLEDGE, SKILLS, ABILITIES AND ATTRIBUTES
Applicant to be knowledgeable and provide varied, confidential, and responsible tasks
Strong organizational skills and attention to detail are of high importance
Must possess efficient time management skills to effectively work in a multifaceted office
Must be able to interact with the public in a positive manner and be able to handle difficult situations
Must possess ability to use a PC-based network, database, word processing and spreadsheet applications
Clerk must be honest, thorough, tactful, and able to use good judgement
Physical condition adequate with the needs of the position being an active office
