Town of Ithaca Job Posting: Information Aide
Town of Ithaca Public Works Department is looking to fill a full-time administrative position that will assist in carrying out the responsibilities of the front-line office that serves the residents of the Town. Work is performed in conjunction with the Administrative Assistant IV. Duties include general office administration and customer service, database management, inventory management, and maintaining Safety Data Sheets.

It is a college town, a farm town, a Finger Lakes community, and a tourist destination renowned for its scenic vistas, forested hillsides, gorges, waterfalls and Cayuga Lake. Town Hall is located within the City of Ithaca at 215 N. Tioga Street. Town Hall includes several administrative offices and the Planning and Code Enforcement Departments. Public Works and Engineering Departments are located at 114 Seven Mile Drive.

SOME TYPICAL WORK ACTIVITIES:
· Provide customer service regarding all aspects of department including greet the public, answer phone calls, take messages/provide information requested, direct people to appropriate persons or departments, walk applicants through the online permit application process, acknowledge and field complaints;
· Enter and maintain employee time records, vehicle maintenance records, daily activity entry, work orders, snow and ice records, enter inventory, update records, generate reports;
· Enter and maintain information in Asset Management program;
· Utilize Outlook email and electronic calendar;
· Manage park and trail permits and scheduling;
· Maintain safety data sheets (SDS) Database and safety posters;
· Prepare and maintain SWPPP information for Engineering;
· Order and track office and facility supplies;
· Maintain food fund inventory and reconcile funds and assist with organizing department functions;
· Maintain logs of staff and equipment overhead for NYSDOT equipment schedule rates and other reports as necessary;
· Maintain Public Works and Engineering records and records disposition.
· Prepare & distribute letters, memos, agendas, minutes, public notices, and signage for trail closures;
MINIMUM QUALIFICATIONS:
Graduation from high school (or possession of a high school equivalency diploma) AND one year of office clerical experience.

Work Hours: Monday – Friday, 6:30 am – 3:00 pm 40 hour workweek
