Job Description: The Grants Coordinator will be responsible for applying and managing grant projects with third parties and government entities, including the federal, state, and local level grants. The Grants Coordinator will work in the Compliance Department and will assist the Grants Program Development Manager with obtaining new grants and guiding newly awarded grants from the award phase through implementation and into long-term management. The Grants Coordinator works closely with members of the Payer Contracting, Revenue Cycle Management, Finance, Operations, and Compliance teams to ensure grants are appropriately implemented, managed, maintained and renegotiated in a timely manner. Essential Duties and Responsibilities include the following and other duties that are assigned. Research various types of grants available to the company in all states in which the company has facilities and the criteria to qualify for each. Compiles necessary information for the grant application process through collaboration with other employees, database research, and other factfinding actions and meetings. Drafts and completes grant applications according to application requirements. Take newly awarded grants from the award phase, ensuring that all necessary components for implementation are executed promptly and efficiently. Actively oversee existing grants, ensuring compliance with grant stipulations, timely reporting, and coordination with relevant departments for data collection and analysis. Completes all documents, forms, and/or reports required by each awarded grant and ensures such items are submitted according to deadlines and grant reporting is completed. Takes a lead role with PIMS, NOMS, SPARS, and other grant reporting as needed. Facilitates information exchange at least monthly between revenue cycle management, and clinical operations managers regarding reimbursement trends, ensuring the grant is being spent down on schedule. Supports revenue cycle management team in activities in invoicing and collecting on grants. Use project management software and tools to track grant progress, deadlines, and deliverables. Coordinate across departments to ensure timely execution of grant-related tasks. Maintain relationships with federal, state, and local contacts, ensuring clear communication and timely updates regarding grant status. Maintains all grant contracts and fee schedules in contract management application and billing software. Reports all grant fee schedules changes and updates monthly. The ability to build and maintain confidence and credibility with all external clients and employees. The ability to maintain friendly, cordial relations with all clients and employees; maintain a positive work atmosphere by acting and communicating in a manner that results in a positive work relationship with customers, colleagues, and managers. Assists with and participates in cost analysis and rate studies. Contributes to installation and maintenance of new reimbursement and other related procedures and controls for all systems used in professional billing/charging for grant activities. Assists Grants Development Manager with ongoing analysis of grant performance throughout the company. Ability to comply with Crossroads’ standards of operations. Project Management Professional (PMP) or Certified associate in project management (CAMP) certifications from the Project Management Institute (PMI) is preferred, but not required. Minimum of 1-3 years of experience in project management, preferably in the behavioral health or substance use disorder industry. Proficiency with MS Word, Excel, PowerPoint as well as project management software and tools such as MS Project. Demonstrated experience in leading teams successfully through project initiatives. Strong understanding of the behavioral health and/or substance use disorder sectors. Excellent communication and interpersonal skills, with a proven ability to present information clearly and respond effectively to questions. Knowledge of computer data entry, SharePoint, Microsoft Excel, and the ability to adapt and navigate business related software required. Ability to write reports, business correspondence, and procedure manuals. RCM, Fiscal or Contracting experience. SUD experience Government experience Project Management experience Language Skills: Ability to read, analyze, and interpret human service periodicals, professional journals, technical procedures, or governmental regulations. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public. Excellent communication and interpersonal skills. Mathematical Skills: Ability to calculate figures and amounts such as percentages, mean, mode and median ability to draw and interpret graphs. Reasoning Ability: Ability to define problems, collect data, establish facts, and draw valid conclusions.
