Essential Job Responsibilities:
Responsible for overseeing day to day operations while improving culture, meeting standards, and exceeding metrics. Implementing changes within the clinic and identifying creative solutions to achieve key performance indicators. - Implement and enforce policies and procedures for site
- Identify and resolve patient satisfaction issues by interacting with customers, reviewing customer feedback, and addressing customer service issues
- Responsible for staffing clinic through recruitment process, new hire orientation, and oversight of training
- Monitor quality and productivity of clinic staff
- Develop monthly staff schedule, review timecards, and submit to payroll
- Oversees responsibility for all aspects of clinic accounting including but not limited to budgetary tracking, daily cash reconciliation, and petty cash
- Conduct performance evaluations and address performance and disciplinary issues
- Work with employees to promote teamwork and help ensure a positive and productive work environment, improve morale, motivate team, and drive employee engagement
- Maintain schedule of 40-50 hours a week, with availability Monday-Friday including after hours, with weekend on call rotation
- Support multiple clinics during on-call rotation to deliver and/or assist with tasks not limited to staffing issues, patient concerns, or facility matters
- Facilitate morning huddles and clinic meetings
- Monitor inventory and ensure ordering of office supplies, medical supplies, and equipment
- Identify and attend community marketing opportunities and engage staff in grassroots marketing
- Assist Employer Services in building community relationships by identifying and communicating occupational health account leads and future partnerships
- Aid in referral relationships of various healthcare partners with Healthcare Facilities and Specialists
- Ensure compliance with directives including patient privacy initiatives and employee safety
- Prepare monthly operational dashboards, participate in weekly calls, and attend monthly Practice Manager Meetings
- Ensure compliance with Federal and State employment regulations, OSHA, HHS and labor laws as directed by the human resources department. Facilitate, audit, and attend all facility inspections as applicable
- Conduct special projects and studies as directed and/or assigned
- Assure clinic is open and appropriately staffed during regularly scheduled hours and special events
- Ensure that all facilities and equipment are available, operational, safe, and clean. Coordinate facility and equipment maintenance and other vendor services, when appropriate
- Perform front‐end registration and/or clinical tasks as a back‐up in case of absence or high demand
Qualifications:
1. Minimum of Associates Degree, Bachelor's Degree in related field (preferred)
2. Three to five years of leadership experience (preferred)
3. Familiarity with medical billing systems, basic medical coding, and basic medical terminology.
4. Demonstrated skills in medical practice management, human resources, and data analysis.
5. Ability to establish and maintain a positive relationship with peers and subordinates.
6. Ability to accomplish required tasks without supervision.
7. Superior verbal and written communication skills.
8. Skilled in Microsoft Office components including excel.
