POSITION PURPOSE

Coordinates external vendor relationships and manages vendor-related projects for Human Resources Shared Services department which includes the HR Service Center and HR Technology teams. Responsible for providing the overall vendor management and consultative services throughout the function to support further development and deployment of HR strategy, programs capability and tools. 

Serves as a subject matter expert and provides consultation to HR System Office and Regional Health Ministries (RHMs) by defining vendor requirements, directing solution design, configuration, testing, and projects rollout. 

Collaborates with multiple teams, including Supply Chain and Trinity Health Information Technology (TIS) to monitor and assess vendor performance and ensure overall project success.

ESSENTIAL FUNCTIONS

  • Knows, understands, incorporates and demonstrates the mission, vision and values of Trinity Health in leadership behaviors, practices and decisions.
  • Coordinates strategic vendor management function in support of HRSC by overseeing selection, contract negotiation, successful implementation and evaluation of multiple concurrent HR technology products and services.
  • Leads the development of contract addendums and contract renewals.
  • Collaborates with internal and external stakeholders in oversight and management of technology pilot programs, upgrades, and implementations.
  • Coordinates with multiple teams on vendor training and communications.
  • In collaboration with the HRSC Operations Director establishes objectives and methodologies for monitoring of the vendor service level agreements (SLAs). Analyzes and evaluates vendor performance and response.  Issues performance reports on a timely basis to vendor and Trinity Health leadership. Conducts review meetings with vendor(s) to discuss expectations and deliverables.
  • Drives continuous improvement by delivering solutions based on findings from vendor trend reporting, SLA analysis, benchmark and performance management.
  • Serves as a consultative resources and manages all related requests for proposals (RFP’s).
  • Coordinates vendor activities for acquisitions and divestitures.
  • Performs detailed current and future state gap analysis of new HR processes at each Regional Health Ministry and identifies plans to convert the Regional Health Ministry to the desired future state. Monitors invoice payments and distribution of allocated costs among the RHMs.
  • Maintains a working knowledge of applicable Federal, State and local laws and regulations, Trinity Health’s Organizational Integrity Program, Standards of Conduct, as well as other policies and procedures in order to ensure to adherence in a manner that reflects honest, ethical and professional behavior.

MINIMUM QUALIFICATIONS

  • Must possess a comprehensive knowledge of vendor management, HR systems implementation and complex project management as normally obtained through a Bachelor’s degree in Business Administration, Information Technology, Supply Chain Management, Human Resources or a related field with four (4) to five (5) years of experience administering, maintaining relationships with and troubleshooting vendor contacts and services. An  equivalent combination of education and experience will be considered. 
  • Comprehensive knowledge of HRIS, Payroll, Health and Welfare Benefits, Service Center operations with Human Resource Generalist/Consultant skills are a plus.
  • Ability to effectively communicate and collaborate with vendors and appropriate internal and external leadership in order manage vendor relationships, troubleshoot and resolve problems with vendor products and services.
  • Significant experience in managing large scale, progressively complex projects, inclusive of change management, presentation development and/or process mapping.
  • Process improvement training/experience is a plus.
  •  Ability to analyze customer requirements and develop technology solutions, such as HR system configuration.
  • Demonstrated proficiency in managing risk plans, action items, communication plans, timelines, and Statements of Work (SOWs).
  • Demonstrated ability to effectively establish and maintain working relationships with peers and constituents at all levels of the organization.
  • Demonstrated ability to translate business requirements into detailed processes and documentation.
  • Experience managing documentation of business processes including specifications, test scripts, training material, and change control.
  • Strong analytical and problem solving skills.  Ability to quickly learn new applications and apply solutions. 
  • Capable of making commitments, setting priorities, and delivering results on time and on budget.
  • Excellent written and verbal communication skills.
  • Strong collaborative and organization skills.
  • Ability to effectively interact across all functions and Health Ministries.
  • Ability to work independently and under minimal supervision.
  • Ability to manage multiple ever-changing priorities.
  • Demonstrated proficiency in MS Office, Word, Excel, Project, Visio, Access, and PowerPoint.
  • Must be comfortable operating in a collaborative, shared leadership environment.
  • Must possess a personal presence that is characterized by a sense of honesty, integrity, and caring with the ability to inspire and motivate others to promote the philosophy, mission, vision, goals, and values of Trinity Health.
