Overview :

We are seeking a friendly and organized Receptionist for our Los Angeles office. The Receptionist will serve as the first point of contact for visitors and callers, providing a positive and professional impression of the company.

This role is essential in ensuring smooth and efficient front desk operations and providing administrative support to various departments.

Key Responsibilities :

Front Desk Management :

Greet and welcome visitors in a warm and professional manner.

  • Answer, screen, and direct incoming phone calls to appropriate staff.
  • Maintain a tidy and presentable reception area.
  • Visitor Assistance :

Manage visitor sign-in process and ensure compliance with security procedures.

  • Assist visitors with inquiries and direct them to the appropriate personnel or department.
  • Coordinate with building management for visitor access and parking arrangements.
  • Administrative Support :

Provide general administrative and clerical support, including mailing, scanning, faxing, and copying.

  • Assist with scheduling meetings, booking conference rooms, and coordinating appointments.
  • Handle incoming and outgoing mail and packages.
  • Office Coordination :

Monitor and maintain office supplies inventory and place orders as necessary.

  • Assist in organizing company events, meetings, and employee activities.
  • Support various departments with administrative tasks as needed.
  • Communication :

Ensure effective communication between staff and visitors.

  • Relay messages accurately and promptly to the relevant parties.
  • Maintain an up-to-date internal phone directory.

Qualifications :

  • High school diploma or equivalent; associate's degree or related certification preferred.
  • Excellent verbal and written communication skills.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Strong organizational and multitasking abilities.
  • Professional appearance and demeanor.
  • Strong interpersonal skills and a customer service-oriented mindset.

Preferred Qualifications :

  • Experience in the manufacturing or distribution industry.
  • Familiarity with office management software and tools.
  • Basic knowledge of administrative and clerical procedures.
