POSITION PURPOSE:

The Deputy Superintendent Office Support, is responsible for clerical support of a general nature as needed in direct support of the Deputy Superintendent. The employee should be able to work in the Microsoft Office suite and Google suite of office applications. This position is also required to carry out designated HR Specialist responsibilities assigned with limited supervision with high levels of accuracy, confidentiality, and professionalism.

MINIMUM QUALIFICATIONS:

  • High School Diploma or equivalent and two years related work experience OR Associate's Degree and two years of working experience
  • Equivalent combination of training and experience will be considered

EDUCATION, TRAINING, AND EXPERIENCE
  • High School Diploma or equivalent and two years related work experience OR Associate's Degree and two years of working experience
CERTIFICATION AND LICENSE REQUIREMENTS
  • Must possess a valid driver's license issued by the NC Department of Motor Vehicles
  • NC Notary
PREFERRED QUALIFICATIONS:
  • Bachelor's degree from an accredited institution in the area of personnel management, human resources, public relations, or comparable experience
  • At least 3-5 years' experience relevant for the position
ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Oversee budget for HR (Use HRIS to create PO's and run Reports (BIB), send reports to Deputy Superintendent of Human Resources and schools
  • Prepare and process POs for all supplies, goods & materials as needed for the Deputy Superintendent and the HR department
  • Administration Staffing (assist with scheduling interviews, offers, processing paperwork and updating staff actions in HRIS)
  • Update missing documents on a spreadsheet
  • Coordinate printing, marketing, and supply orders for HR
  • Manage the Deputy Superintendent's calendar to maintain a schedule of appointments in order to plan for conferences, interviews, and meetings
  • Schedule, coordinate, budget development and other clerical functions as assigned
  • Prepare and review reports as assigned
  • Obtain, gather, and organize pertinent data as needed and transpose it to a useable format such as Google Sheets or Microsoft Excel
  • Receive, process, and distribute all incoming mail or the department
  • Intake all phone calls through the main line, transcribe and deliver messages
  • Process staff actions for both ABSS employees/contractors (new hires/rehire, assignment change, suspension, resignation/separations, etc.)
  • Ensure data integrity is maintained within all data management systems and databases
  • Ensure employment/personnel files are maintained in a confidential manner
  • Assist with Orientation creating Employee ID Badges
  • Coordinate with payroll or other departments to verify budget codes (for staff actions) or any other variables are incorrect or missing
  • Updated Organizational Plans for the district departments and schools
  • Update and scan aggregate information forms as job assignments are changed
  • Assist incoming visitors with answering questions, inquiries, and requests for information and services
  • Other related duties as assigned
