Administrative Assistant
Attention to Detail/ Organization - YOU must be able to see and pay attention to detail. It is critical to be able to verify the correctness or error in an individual part/procedure. YOU will also wear many hats, and so multitasking and organization is critical.
- Expenses & Reconciliation (this monthly process takes around between 5-8 hrs. each month)
- Tracking down invoices/ receipts for all charges
- Verifying charges & approval of these charges
- Disputing unauthorized charges with AmEx & Visa
- Categorize, Submit, and approve all expensify reports
- Reconcile Expense report against statement
- Converting expensify report to Intacct format
- Office Manager Back-Up
- All Office Manager Responsibilities default to me when sick or on vacation. (These weeks/days cut my productivity quite a bit)
- Office Manager’s support/acting manager
- Purchasing & Booking (gift cards, supplies, travel, lodging etc.)
- Back-Up to company Phone Line (all calls notreceived by the office manager)
- Account Access (granting people access to different accounts, giving them codes, etc.)
- Avaya Administration
- Tech Support (Avaya troubleshooting, adobe troubleshooting, etc.)
- Coordinating office gifts/events
- Employee Communication
