About The Role:
The Office Manager is responsible for overseeing the administrative functions of the commercial cleaning company's office. This role involves managing office operations, coordinating with clients and employees, and ensuring that the company's day-to-day activities run smoothly. The Office Manager also plays a key role in maintaining a positive working environment and supporting the company's growth.
Responsibilities:
1. **Office Administration**:
- Manage day-to-day office operations, including scheduling, filing, and record-keeping.
- Supervise administrative staff and delegate tasks as needed.
- Maintain office supplies and equipment inventory and reorder as necessary.
- Ensure a clean and organized office environment.
2. **Client Communication**:
- Act as the primary point of contact for clients, addressing inquiries and concerns.
- Coordinate with clients to schedule cleaning services, provide quotes, and resolve issues.
- Maintain client records and ensure accurate billing.
3. **Employee Support**:
- Assist in recruiting, onboarding, and training of cleaning staff.
- Manage employee schedules, assignments, and time tracking.
- Address employee inquiries and concerns in a timely manner.
4. **Financial Management**:
- Assist in budgeting and financial planning for the office.
- Track expenses, invoices, and payments.
- Prepare financial reports for management.
5. **Quality Control**:
- Monitor cleaning services to ensure high-quality standards are maintained.
- Address any customer complaints or service issues promptly.
6. **Health and Safety Compliance**:
- Ensure compliance with health and safety regulations in the workplace.
- Implement safety protocols and training for employees.
7. **Technology and Software**:
- Proficiently use office software and cleaning management software.
- Provide training to staff on relevant software tools.
8. **Vendor Management**:
- Coordinate with suppliers and vendors for cleaning supplies and equipment procurement.
Qualifications:
- Bachelor's degree in business administration, management, or a related field (preferred).
- Proven experience in office management or a related role.
- Strong organizational and multitasking skills.
- Excellent communication and interpersonal abilities.
- Proficiency in office software (e.g., Microsoft Office Suite).
- Proficiency in QuickBooks Online.
- Knowledge of cleaning industry practices and standards is a plus.
- Leadership and team management skills.
Job Type: Full-time
Pay: $50,000.00 - $70,000.00 per year
