We are looking for a sharp, ambitious, and enthusiastic Surgical Coordinator to join our team. EMR experience, clinical knowledge is a must. Medical certification required.
What You’ll Do:
- Interacts with administrative and clinical staff including front desk, medical records ancillary services, surgery center, hospitals and nurse case manager to ensure maximum utilization of resources and the efficient delivery of services.
- Oversees the schedule of surgical patients and pre-op work up, including post op care.
- Ensures surgical orders are submitted and processed for authorization in a timely manner.
- Schedules patients for surgery and advises patients of pre-surgical requirements to include laboratory orders, educational classes and/or imaging.
- Works with financial counselor to advise patients of co-payment, co-insurance or other out-of-pocket expenses prior to surgery.
- Maintains surgical schedule and serves as liaison between staff, authorization department, hospital staff and outside reps.
- Enters surgical charges into Athena and ensures op notes are uploaded correctly.
- Documents patient phone calls in Athena (patient case).
- Prescription refill messages are communicated with the physician and response given to the patients within 24 hours.
- Ensures patient phone calls are retrieved and returned by the end of the business day.
- Works with team on Athena documentation tasks (buckets).
- Monitors and works “Hold” buckets on Athena Dashboard, assists Professional Reimbursement Department on resolving open claims and checking the PAS bucket throughout the day.
- Addresses concerns and/or complaints from patients, vendors, and staff members within 24 hours. (Escalates to Clinic Manager as needed).
- Works with patients on obtaining HOOKS/KOOS forms.
- Coordinates On-Call rounding lists of patients.
- Ensures regulatory compliance and reports any issues to Clinic Manager as they arise.
- Coordinates/schedules anesthesia with hospital within 24 hours of scheduling the surgery.
- Contact implant rep within 24 hours of scheduling the surgery.
- Ensure that home health or outpatient PT is ordered within 24 hours of scheduling surgery.
- Late policy – You will have a 7 minute grace period. If you are more than 7 minutes late 3 times in a 30 day period (unless approved by your manager), you will receive a verbal warning. Anything over 3 will constitute a write up. This will reset every 30 days.
What You'll Need:
- High School Diploma or equivalent. Nationally Registered Medical Assistant Certification required (must be obtained within 6 months of hire and/or must be kept current).
- Minimum of two years clinical experience with supervisory responsibility.
- Must have clinical knowledge. Familiar with automated practice management systems and/or EMR such as Athena. Must be familiar with health insurance requirements as it relates to medical reimbursement (i.e., deductibles, co-pays, etc.)..
- Must demonstrate strong and effective communication skills. Must be able to lead by example effectively. Excellent planning, organization and task managements skills. Ability to multi-task, work in a fast-paced work environment, and demonstrate team cooperation is required..
- Other duties to be assigned as necessary and may vary at times, as needed by your immediate supervisor or as directed by the company.
- Requires prolonged standing, sitting, stretching, and some bending. Requires eye hand coordination and manual dexterity sufficient to operate a keyboard, photocopies, telephone, and other equipment. Requires normal range of hearing and eyesight to record, prepare and communicate appropriate information to patients and team members. Normal but fast-paced work environment.
