DUTIES/RESPONSIBILITIES Primary Responsibilities
Providing secretarial skills to include receptionist duties, preparing documents, word processing and record maintenance. Preparing correspondence, forms, reports and other documents as required.
Responsible for receiving and coordinating work orders with management staff in Facilities and Construction.
Ensuring all timesheets are submitted and delivered to the Payroll office in a timely manner.
Process all accounts payable paperwork for departmental budget and capital office expense projects; create budget reports and participate in development of yearly budget; request PO’s.
Providing a supporting role to the Director, Facilities and Construction with respect to budget oversight and campus building maintenance (including grounds maintenance) and renovation projects.
Manage all Banner related activities.
Manage mandated training department wide through the School of Continuing Studies.
Maintain an open line of communication with Facilities and Construction department supervisors. Coordinate work within multiple departmental offices.
Working with Director, Facilities and Construction on special projects.
Responsible for proper record keeping both manual and electronically. This includes construction projects; etc.
Performing other duties as assigned.
* * QUALIFICATIONS Required Education/Experience
Associate degree required.
Preferred Education/Experience
Bachelor’s degree
Supervisory experience
Experience in statistical evaluate on a data and report writing skills for interpreted data.
Banner and TracDat software
Three to five years of experience in a related position.
*_ _* EXPECTATIONS
Must be able to use a computer and have knowledge in Word and Excel software. Working knowledge of software to include Banner, Manager Plus (work-order system), Novatime (payroll system.
Must be detail orientated to meet required deadlines.
Excellent written and oral communication skills. Providing information in person, by electronic, and by telephone with all offices of the College, students and with the general public.
Must exhibit a sensitivity to and an understanding of the diverse academic, socio-economic, cultural, and ethnic backgrounds of staff and students and to staff and students with disabilities.
Must respect confidentiality and maintain courtesy in dealing with students, faculty/staff, co-workers and the general public.
Texas Driver’s license in good standing is required.
Travel Must have and maintain a current valid Texas driver’s license and an acceptable driving record *_ _* Other Job Specific Requirements *_ _*
Ability to grasp, lift and/or carry or otherwise move goods weighing a minimum of 50 pounds preferred.
