What are the responsibilities and job description for the Receptionist position at Tyler Technologies?
The receptionist is responsible for front desk operations, which include welcoming and helping guests, clients, vendors and employees in person and by phone. As the first point of contact and the last resort point of contact, the receptionist must maintain an approachable and courteous demeanor and ensure issues and questions are directed to the person who will resolve them.
Responsibilities
- Work with other receptionist to cover breaks and lunches.
- Answer and screen calls and direct them to the appropriate person or team.
- Monitor office supply levels and place bi-weekly order.
- Maintain facilities-related documents, such as floor plans.
- Prepare letters and contracts for the Support Department.
- Provide administrative support on special projects as required.
- Oversee lobby and building decorations for the holidays.
- Coordinate storage of off-site backup tapes.
- Work with the facilities team to ensure day-to-day operations of reception, and general office are covered even during an absence.
Qualifications
2 years’ experience in an office environment.- Experience using multi-line phone in a high call volume environment strongly desired.
- Strong ability to multitask.
- Excellent communication and customer service skills.
- Experience with Microsoft Office products, particularly Outlook, Word and Excel.
This individual must be able to:
- Balance answering several phone lines with visitors to the front desk; direct requests to the appropriate resource even when there are multiple, concurrent requests.
- Maintain knowledge of employee whereabouts, moves and contact information so that clients calling in can be quickly connected to the correct resource.
- Work as part of a team to ensure daily facilities functions are accomplished.
- Work well with clients, visitors and employees at all levels of the organization.
