Position Information:
The ideal Business Administration Specialist will bring excellent organizational skills, strategic thinking, the ability to multi-task, be technically savvy and have experience within Customer Relationship Management (CRM) tools. This team member will work with our Operational Teams to facilitate the coordination of resources and reports.
Essential Duties and Responsibilities:

  • Understand and work within our organizational Customer Relationship Management (CRM) tool and Professional Services Automation (PSA) systems
  • Review, maintain, and act upon operational real time PSA based dashboards
  • Bring a strategic mindset to help the Operations Team properly align resources across all regions of the country to maximize efficiency, cost effectiveness, and the balance of work within the team
  • Work with the Operations Teams to establish a resource for new projects and subscription work
  • Make strategic recommendations to the Health & Safety Leadership Team to aid in the efficiency of making resource decisions that involve significant change or complexity
  • Assist with confirmation of appointments
  • Manage the late visit report process to minimize the number of late visits and to ensure the work is scheduled
  • Communicate with clients to ensure scheduling and assignments are handled with excellence
  • Perform all required backend PSA functions for new assigned clients and resources
  • Complete monthly service capacity and load management reports
  • Analyze and provide recommendations for growth in terms of the distribution of travel-oriented work and new hire considerations
  • Work with the staff onboarding team to ensure all new personnel are oriented to operational related functions
  • Create and communicate client load reports and maps for each team member
  • Maintain strong communication with service team members to ensure direction is clear and they feel supported
  • Demonstrate the ability to assist Executive and Senior Leaders with any additional work
  • Travel scheduling support to the Health & Safety group
  • Corporate Operational support additional functions as needed

Minimum Requirements:

  • Experience in CRM (Microsoft Dynamics or similar)
  • An associate s or bachelor s degree preferred
  • Strong technical skills and proficiency in Microsoft Office: Outlook, Word, Excel, and PowerPoint
  • Effective written and verbal communication skills
  • A strategic mindset
  • Adept in customer service principles
  • Strong organizational skills
  • Attention to detail balanced with effective time management & work efficiency
  • Ability to work independently in a fast-paced environment
  • Strong decision-making skills and ability to assert good judgement
  • Open-minded attitude and positive outlook
