The U.S.-Japan Council (USJC) (www.usjapancouncil.org) is an educational 501(c)3 non-profit organization that develops and connects diverse leaders to create a stronger U.S.-Japan relationship. Founded by Japanese Americans, the Council brings together leaders of the United States and Japan from across backgrounds, sectors, and generations to partner for a better future for the Asia-Pacific region and beyond. USJC also administers the TOMODACHI Initiative (https://www.usjapancouncil.org/tomodachi/), a public-private partnership between the U.S.-Japan Council and the U.S. Embassy in Tokyo, with support from the Government of Japan.

The Program Coordinator will work closely with Program Managers, Directors, and other senior staff to provide administrative support in the development, coordination and execution of assigned programs that support and promote USJC’s mission. This position is responsible for the administrative and operational functions required to coordinate activities, manage events, and provide administrative and staff support for assigned programs, which include new and existing USJC signature, regional, and other educational programs in areas such as bilateral security, trade, and other related issues; legislative and government affairs; business and civil sector engagement; climate and sustainability; technology and innovation; women, youth, and minority leadership; academic exchange, and more.

Candidates should be committed to the goals of the organization and can bring experience in coordinating and supporting interesting programs that educate and engage audiences who are interested in U.S.-Japan relations. This position is full-time remote work (Washington, DC or continental U.S.) and travel (domestic and international) will be required as needed. The Program Coordinator will report to the Director of Program Development.

MAJOR RESPONSIBILITIES:

  • As part of the USJC Programs Team, directly assist the Program Director(s) and Manager(s), and collaborate with the President, Staff, Board of Directors, USJC members, external stakeholders and other experts to successfully implement programs.
  • Work with a cross-functional team in the United States and Japan to support various programs.
  • Manage logistics for onsite, virtual, and hybrid programs.
  • Utilize technology as needed to support program coordination.
  • Serve as a principal liaison between contract staff, implementing partners and/or external constituencies on day-to-day programmatic issues.
  • Maintain program records and statistical information; collect and analyze data producing accurate reports from datasets and surveys; evaluate and make recommendations to strengthen programs.
  • Write program reports, summaries, and newsletters articles.
  • Assist with other administrative and office responsibilities as needed.

QUALIFICATIONS:

  • Bachelor’s degree. (required)
  • Lives in the continental U.S. (required)
  • English fluency and strong Japanese proficiency (written and spoken). (required)
  • Event planning and coordination experience: small educational programs (less than 50 participants) to large-scale conferences (500 attendees). (required)
  • Excellent organizational skills and the ability to work under tight deadlines and manage multiple priorities.
  • Demonstrated effectiveness in working independently and as a member of a team, and developing effective working relationships with Board & Council members, donors, staff, volunteers, and external stakeholders.
  • Honed written and oral capabilities and effective interpersonal communication skills, including sensitivity and diplomacy in communicating with a wide range of constituencies in a diverse community.
  • Ability to gather and analyze statistical data and generate reports.
  • Commitment to professional ethics in working with highly confidential, sensitive information.
  • Acquired computer skills or the ability to learn new platforms, including Database management software (e.g. Salesforce), application management software, Microsoft Office Suite (specifically Microsoft PowerPoint, Excel, and Word), Proficiency in Adobe Creative Suite (InDesign, Illustrator, and Photoshop). (preferred)
