What are the responsibilities and job description for the Program Coordinator II position at UAB Medicine?
Compensation: $18.35 - $29.80
Duties
Under minimal supervision, coordinates administrative and logistical support for the Office of Leadership Development events and workshops, often of and/or complex nature. Conducts established program objectives and directives. Follow established guidelines and protocols. Determines the best approach to accomplish assignments. Participates in program planning and in setting program objectives. Interfaces with UAB Heersink School of Medicine and Health System leadership, outside resources such as vendors, alumni, and other professionals in the Leadership Development field. Adhere to program budget and other fiscal duties. Acts as a communication liaison and assistant event planner. Must be able to work a variety of hours in order to accommodate events. Must be able to lift up to 25 pounds at a time. Organize program data management under the direction of the Program Director.
The Leadership Development Office Program Coordinator, in conjunction with the Program Director, will be responsible for the Event Management of all one-off and small events and workshops, Leadership series, LEAD and SAIL Cohorts.
- Coordinate with the facilitator and/or the department/client leader to workout event logistics (i.e. date, time, location, etc.)
- Send out correspondences to program/event participants of completed assessment reports and/or handouts.
- Print reports and handouts needed for events.
- Ensure all supplies and equipment are available for events (travel cart and bag are adequately stocked).
- Ensure AV is set up and working.
- Order catered lunches, when necessary
Other responsibilities include but not limited to:
Office Management
- Ensuring the upkeep of the LDO office and stock room.
- Purchasing supplies and equipment for events and the LDO office.
- Managing office equipment and electronics.
Purchasing and Billing
- Payment of all invoices via payment request.
- Data management of purchasing logs.
- Billing HSOM departments for assessments and catering, and other supplies.
Office Assistant
- Assist the Program Director as needed.
- Schedule meetings for the Leadership Development Specialists
- Manage LDO Event Listing
Bachelor's degree in a related field and one (1) year of related experience required. Or an equivalent
combination of relevant education and/or experience
