Job Posting for Assistant Director, Student Alumni Programs and Family Engagement at UCLA
UCLA's Alumni Association builds and sustains active engagement with our 500,000 alumni throughout their lifespan. Our Student Alumni Programs and Family Engagement (SAPFE) team supports student, parent and alumni leaders involved with the Alumni Scholars Club, Homecoming Committee, Student Alumni Association, Parents' Council and Alumni Board of Directors. As the Assistant Director of SAPFE, you will bring your sense of creativity, enjoyment for engagement, and resourcefulness to assist us with the planning and implementation of Alumni Affairs communications, events, projects and initiatives of varying scales. You will receive hands-on experience and training to build your career in a positive and collaborative team environment with long-term opportunities for personal and professional growth.
In this role, you will collaborate with the Senior Director of SAPFE and other Alumni colleagues to develop and distribute communications that connect students, families and alumni with programs and resources offered through the department. As the Assistant Director, you will support the management of volunteer leaders engaged with UCLA and support signature Alumni Affairs events designed to unite the Bruin community. You will assist the Senior Director with student, parent/family, and alumni-facing programming, serve as a point of contact for volunteer engagement and work with us to set goals for engagement and growth, review and analyze analytics, and provide performance reports. In addition, you will also support and manage other Student Alumni Programs & Family Engagement projects, initiatives and data management as appropriate. Required/Preferred
1. Two or more years of experience working with students, volunteers, marketing and/or program development.

2. Experience in and/or ability to respond to constituent inquiries and concerns and provide a high level of customer service in a constituent driven environment.

3. Strong writing skills with the ability to produce clear, structured and articulate materials; able to proofread and edit correspondence and reports for correct grammar, punctuation, spelling and syntax.

4. Excellent oral communications skills with ability to speak clearly and distinctly, using grammatically correct language to obtain and convey information accurately by phone and in-person.

5. Highly collaborative with demonstrated interpersonal skills to establish, maintain and expand relationships, partnerships and opportunities as well as interact effectively and diplomatically with a wide variety of internal and external constituents.

6. Prior experience in or ability to successfully manage programs, projects and initiatives including setting priorities and goals, developing operating plans, analyzing problems, determining solutions meeting deadlines and managing process from inception to completion.

7. Supervisory skills to effectively manage others including ability to orient, train, organize, motivate, delegate and evaluate volunteers and student workers who support University goals and programs.

8. Demonstrated ability conceptualizing and managing all aspects of events including creation of invitations and event follow-up.

9. Detail-oriented with strong time management skills and ability to independently set priorities and goals, develop operating plans, analyze problems, determine solutions, meet deadlines and manage processes from inception to completion with minimal supervision.

10. Ability to work as part of a team and in collaboration with volunteers and staff to further the mission of the Alumni Association as a whole.

11. Skill in using judgment in situations requiring independent and tact; ability to handle confidential matters and sensitive information in a discreet manner.

12. Proficiency with Microsoft suite of applications as well as other software programs and applications necessary to prepare correspondence, reports, tables, presentation materials, etc. with the ability to learn new technologies in a prompt and efficient manner.

13. Ability to work nights and/or weekends as needed.

14. Familiarity with WordPress, Canva, Meta Business Suite, Adobe Audition is preferred.
