Basic Function: The Cleaning/Area Manager is responsible to the designated customer representative(s) for planning, directing, and controlling the operations and personnel necessary to provide the contracted services. All services will be performed with an emphasis on safety. Supervises and coordinates activities of workers engaged in cleaning and maintaining premises of commercial building by performing the following duties:
Responsibility and Authority: Within the limits of his approved program, corporate policies, and control procedures, the Cleaning/Area Manager is responsible for and has commensurate authority to accomplish the satisfactory performance of the duties set forth below. He may delegate to respective members of his staff appropriate portions of these responsibilities, along with appropriate authority, in order to achieve satisfactory performance. He may not delegate the overall responsibility for performance nor any portion of his accountability.
Major Duties and Responsibilities:
- Assist in developing, recommending, and revising a complete program for all operational and maintenance functions within the facility. Submission of daily and nightly reports to building management.
- Responsibility for directing, controlling, and supervising such services as may be assigned by the representatives of customer management.
- Assist the customer management representative(s) in making cost estimates for new work and additional work that is to be done in the customer facility. Selling tenant specials through the building, increase ancillary services and generate additional revenue.
- Formulate or receive and recommend for approval department policies pertaining to the operation of the housekeeping department.
- Control the costs of the housekeeping department and foster economics and cost reductions in all possible operations. Validate building vacancy in a monthly basis, follow up with building property management for specific SF.
- Coordinate approved training programs for all personnel under his jurisdiction. Safety training in a monthly basis.
- Establish and maintain necessary standards of conduct and performance to ensure that his department’s operations and services are carried out efficiently. Follow up with HR department as needed.
- Oversee the implementation of the quality control and safety programs, through Compu Clean. Record weekly and join inspections as required.
- Conduct client visitations and update tenant matrix. Report submitted in a monthly basis to Midwest office.
- Available to cover shift per needed “Call out or no shows”.
Organizational Responsibilities:
- Administer the approved organization plan, recommending changes that he deems necessary.
- Recommend the addition, alteration, or elimination of departmental personnel.
- Prepare position and job descriptions for specific position that require additional qualifications.
Financial Responsibilities:
- Prepare and submit weekly payroll.
- Review and submit monthly supply orders in a monthly basis, aligning to building budgets. Follow require approval process.
- Review all expenditures and costs of his department and take appropriate action to control costs at an economic minimum consistent with his department’s objective.
Administrative Responsibilities:
- The Cleaning/Area Manager will perform the following administrative responsibilities. He may delegate the conduct of these responsibilities in whole or in part to members of his department, but he may not delegate his overall responsibility or accountability.
- Remain accountable to the customer management representative(s) and Contractor management for fulfillment of all functions and responsibilities.
- Recommend the employment of hourly personnel in numbers consistent with the schedule of the work and budget operations.
- Approve promotion of hourly personnel. Submit COS for changes, terminations or personnel changes as required.
- Open and close job tickets as completed, following our fiscal calendar.
- Review and approve supply invoices within bill.com, assure correct department is entered, and description of billing is outlined, sample “rebill supply using special dept # “.
- Approve personal leaves and vacations, other than his own. Follow with HR for any reports.
- Advise and assist, either upon his own initiative or upon request, other members of Contractor or customer management in the fulfillment of their respective functions in matters within his province. (He will coordinate these activities and cooperate with other management staff in matters of mutual concern. In so doing, he will not assume more will he delegate any function, responsibility, authority, or relationship belonging to any other member of management.)
- Conduct such relationships with representatives of labor as are necessary to accomplish his duties.
- In the conduct of these responsibilities, establish and maintain those relationships necessary for the fulfillment of his duties.
- Perform other functions as may from time to time be required by customer management representative.
