The Medical Records/Receptionist is a key member of the Northstar Behavioral Health Team and  is a dual role position. When performing Receptionist job duties, the position is responsible for facilitating the flow of the organization’s information; providing a positive, responsive environment for receiving internal and external customers via telephone and face-to-face. The Receptionist operates a multi-line switchboard to relay incoming, outgoing, and inter-office calls to their appropriate destination. The Receptionist greets and screens all visitors before allowing them to proceed throughout the hospital, and acts as an information center to all visitors. The Receptionist also provides clerical support for hospital personnel. When performing Medical Records job duties, the position is responsible for coordinating the maintenance of medical record files (acute, residential, and outpatient), providing telephone and reception coverage for the Health Information Services (HIS) Department, coordinating processing of discharge and active charges, maintaining accurate computerized databases, medical transcription and decrypting, processing daily census reports, handling Release of Information (ROI)  requests, and other duties to assist in the efficient functioning of the HIS Department.

 

JOB DUTIES/RESPONSIBILITIES

 

Receptionist Duties:

  • Answers and responds to incoming telephone calls promptly and in a pleasant, courteous, and clear manner.
  • Carefully screen calls before transferring them to the units and always requests patient’s confidentiality number before transferring.
  • Uses pages appropriately over the intercom system, speaking clearly and in a moderate tone; limits pages to emergencies, caller requests, or authorized announcements.
  • Screens all visitors before allowing them to proceed past the hospital lobby, making sure all visitors check in and out.
  • Works closely with the Intake department and follows procedures when prospective patients arrive.
  • Signs for and receives incoming deliveries and notifies the receiver.

Medical Records Technician Duties:

  • Abides by the system’s policies and procedures, State and Federal regulations, and HIPAA guidelines while processing patient’s ROI requests.
  • Coordinates all requests for ROI requests; researches and investigates all health record release of information requests that are submitted to the department; monitors phone calls in reference to ROI questions; reviews records to determine if a physician clearance approval should be obtained for the ROI.
  • Processes discharged records; enters and maintains computerized deficiency system and prints weekly reports; analyzes each record, tags and untags deficiencies.
  • Assembles charges upon discharge for retrospective and discharge processing; copies records for Retro-Insurance Reviews.
  • Assists in verification of billing ICD-10 codes as needed; maintains weekly billing Readiness Report.
  • Retrieves and files reports or transcription on a daily basis; retrieves records for direct caregivers to complete or review; purges records as necessary.
  • Decrypts, corrects, and prints transcribed reports, tags reports with appropriate physician’s tag, and places in appropriate medical record; accurately logs all reports received into transcription log daily.
  • Maintains permanent files ensuring that records are filed in appropriate slots.

Qualifications

REQUIREMENTS

  • High School Diploma or GED required.
  • At least one year of credible work experience working as a receptionist, medical records technician, or other hospital administrative role required.
  • Medical Billing and Coding certification preferred, and RHIT strongly preferred.
  • Must be at least 21 years of age
