JOB TITLE: Attendance Secretary II LEVEL: G
DIVISION: School Site

DISTINGUISHING FEATURES OF WORK:
Under supervision and direction of the site administration, the Attendance Secretary II is expected to perform responsible and accurate clerical, technical and public relations-type duties related to the computerized student attendance program. The position is characterized by the necessity of a relatively minimal amount of direct supervision. This position differs from the Attendance Secretary I position in that the duties are more technical and complex in nature and specific to hourly or period attendance accounting.
ESSENTIAL DUTIES AND RESPONSIBILITIES:
Duties and responsibilities may include, but are not limited to, the following:
- Posts data relative to attendance; prepares and distributes regular attendance reports within established timelines
- Enters data on enrolling students and deletes students from school rolls
- Enters data on student program reports; builds computer file; prints and mails notices to parents
- Enters data on grades, builds computer files; prints and mails reports to parents
- Enters and maintains grade transcript files
- Processes reports and files to various agencies as necessary
- Answers the telephone and provides information or makes referrals regarding school activities and programs
- Communicates with parents regarding student absences
- Issues admission slips to students returning from absences
- Supervises clerical assistants and student helpers
- Initiates and monitors the truancy process; assigns detentions for truancies; contacts appropriate agencies
- Enrolls and transfers students; updates information on student cumulative records; processes student records and discipline forms
- Coordinates with Special Education; documents services rendered; enters and maintains Special
Ed data
- Compiles and maintains computerized data files; manipulates data for required reports
- Types reports, memos and other materials from oral directions, rough draft, copy or notes
- Operates standard office equipment
- Prints and/or mails letters regarding student attendance and answers routine correspondence independently
- Orders supplies for office
- Assists auditor as necessary
- Monitors student behavior
- Performs other related duties as assigned
QUALIFICATIONS /REQUIREMENTS:
KNOWLEDGE OF:
- General accounting/bookkeeping procedures
- Modern office practices and procedures
- Proper English usage, spelling and grammar
- School office operations, district policies and operations
- Computer applications, including word processing, databases, email, Internet use, desktop publishing, etc.
ABILITY TO:
- Establish and maintain effective relations with administrative, instructional and student personnel, as well as the public
- Use computer databases and spreadsheets, and to learn accounting programs
- Type/keyboard with speed and accuracy
- Learn school policies and rules in order to communicate such to parents and students
- Work without close supervision
- Analyze problems accurately and adopt an effective course of action
- Understand and carry out oral and written instructions
- Effectively and correctly communicate both orally and in writing
- Make simple arithmetical calculations
- Effectively monitor students
- Obtain first aid certification as needed
EDUCATION/CERTIFICATION/CREDENTIALING:
- Desired: A combination of experience and training which would indicate possession of the necessary knowledge and abilities such as graduation from high school with courses in office practices and three years of responsible clerical experience involving serving the public; as well as extensive computer experience.
- Provide evidence of keyboarding speed and accuracy.
WORK ENVIRONMENT/PHYSICAL DEMANDS:
- Sitting and viewing a computer monitor for extended periods of time
- Reach, bend, and stoop to file.
- Lift and move office supplies and equipment weighing up to 25 pounds
- Speak, read and understand sufficiently to successfully receive/provide information to/from students, supervisors, co-workers, the public, etc.
- Work under pressure to complete a variety of written reports within specific timelines
- Sufficient coordination and dexterity to operate school office equipment (includes computers, terminals, printers, copiers, etc.) as required by the position
- Perform all duties listed on the job description which are marked as essential
