Billing Administrator

Position Summary:
As the billing administrator , you must be accurate and reliable in handling accounts and documents. Excellent math skills, meticulousness and organizational skills are essential. Experience in billing preparation is desirable as well as familiarity with the construction trade. Good communication skills a MUST. Initially you will be working very closely with the owner and general manager. You will also interface with vendors, employees, contractors.
Responsibilities:
- Prepare, process, and send invoices and purchase orders for vendors and select customer inquiries.
- Answer incoming calls, emails, and other forms of communication to determine the nature of the situation and necessary action to take.
- Prepare and send invoices for vendors parts and services.
- Prepare and send monthly statements
- Prepare and send monthly billing
- Collect payment from customers in a timely manner.
- Answer questions about billing options, discounts, etc. from customers.
- Billing of services based on time and material or contracts
- Manage account balances to discover outstanding debts or other inconsistencies
- Collect all information needed to calculate bills receivable
- Check the data input in the accounting system to insure accuracy of all bills
- Create invoices and send to cutomers thru various channels (QB, email, mail)
- Send reminders for payments and contact customers when assigned. Report all activity to upper management
- Engage with customers/contractors, both by phone and written communication, regarding new jobs, work in progress and final billing
