Office Manager - Maritime Industry - Fort Lauderdale, FL
This opportunity is within an organization that has been in the maritime industry for 20 years in South Florida; one heavily involved in their community and committed to giving back to the industry. This group is filled with individuals passionate about the industry and focused on delivering exceptional service.
The Office Manager role will be supporting a growing organization overseeing the administrative day-to-day operations, as well as support leadership with human resource functions and serve as a backup to the bookkeeper when transactional needs overflow.
Responsibilities for the Office Manager in Fort Lauderdale, FL include:
- Develop, implement, and organize office operations, policies, and procedures to assure efficiency on an ongoing basis.
- Oversee new leads (RFS) to appropriate persons for delegation and estimate preparation.
- Oversee new client &/or vendor applications to approve &/or receive financial terms.
- Track/Oversee vehicle registrations, registered drivers, and vehicle insurance that is valid and current.
- Oversee office staff and processes.
- Read/review daily timesheets and monitor T-sheet hours for accuracy of project time billed on jobs.
- Calculate field team time (T-Sheets) for overtime and report to team.
- Oversee &/or Enter accounts payables daily and generate AP report
- Review and approve office supply requisitions; maintain and replenish inventory; Oversee/check stock to determine inventory levels; anticipate needed supplies; verifying receipt of supplies.
- Oversee shipping/receiving and support when necessary. Track all packing slips & shipment proformas.
- Track and daily review- PSR/Project Status Report - attend bi-weekly teams' meetings.
What required?
- Bachelor's Degree
- Local to the Fort Lauderdale area: this is 100% on-site role with early start time.
- Experience: At least three years of professional and recent experience, with a company between 10 - 100 employees.
- Software Proficiency in MS Office Suite & QuickBooks - SalesForce major plus
- Work experience is within maritime or service focused industry in similar capacity.
