As a Receptionist (2904) Â your role will be to help an organization run smoothly. You will be responsible for greeting visitors and answering phone calls while maintaining a professional demeanor throughout interactions with customers or potential clients. Responsibilities of a Receptionist:
- Provides appropriate greetings and directions to visitors.
- Answer multiple phones at the same time
- Communicates the arrival of a visitor to company personnel.
- Provides visitors with information or refers them to the appropriate person.
- Directs visitors to employee and department directories.
- Manages visitor badges, monitors logbooks, and ensures security.
- Ensures the reception area is safe and clean by adhering to procedures, rules, and regulations.
- Maintain continuity by documenting and communicating work team actions, irregularities, and ongoing needs.
- Assist with accounts payable and receivable as needed
- Organize and create correspondence, filing, and filing systems
- MS Office (including Word, Excel, and PowerPoint), Oracle Calendar, and Internet savvy.
- Assists walk-in clients, schedules client appointments, answers phone lines, and helps clients with questions and issues.
- Supports managers with business documentation and professional demeanor at all times.
- Efficiently processes updated client information and payments into the database.
- Prioritizes tasks while staying focused on several projects simultaneously; diligently follows up on outstanding items.
- Ability to multitask effectively in a fast-paced environment.
- Maintains a friendly, approachable style to build relationships and work harmoniously with others at all times.
- Bilingual in English and Spanish.
Qualifications
- Must have 5 years of reception experience
- Must be able to work in a fast-paced environment.
- Bilingual Spanish preferredÂ
- Knowledge of Microsoft Office
- Light accounting experience preferred
