Ultraclean, Inc. was established in 1989. We are a family-owned, smaller office environment that continues to grow every year. Our main focus is the Construction Industry; we also offer Speciality Cleaning Services throughout New York.

We seek a highly organized, construction-literate (helpful) Office Administrator to join our growing office. As an Office Administrator, you will play a key role in ensuring the smooth functioning of daily operations. The ideal candidate should be resourceful, detail-oriented, possess excellent problem-solving skills, and be able to work independently. This position requires proficiency in QuickBooks, Google Calendar, and Excel for starters. Strong customer and interoffice relations and the ability to multitask are essential.

Responsibilities:

  • Answering and managing our phone lines, providing excellent customer service, and directing calls as necessary.
  • Managing contract administration, including reviewing and processing contracts and ensuring compliance with company policies.
  • Maintaining and updating Google Calendar, scheduling appointments, and coordinating meetings.
  • Assisting with general office tasks, such as filing, data entry, and document management.
  • Ensuring compliance with HR government and corporate regulations, including maintaining employee records and handling personnel matters.
  • Coordinating with various departments and personnel to facilitate efficient operations.
  • Utilizing QuickBooks for financial tasks, such as invoicing, payroll, and expense tracking.
  • Managing office supplies, inventory, and equipment maintenance.
  • Assisting with preparing reports, presentations, and other documents using Microsoft Excel, Google Sheets, Google Drive and other tools as necessary.

Job Type: Part-time

Pay: $18.00 - $20.00 per hour

Expected hours: 20 – 25 per week

Schedule:

  • 4 hour shift
  • Choose your own hours
  • Monday to Friday

Experience:

  • Microsoft Office: 1 year (Preferred)
  • Administrative experience: 1 year (Preferred)

Work Location: In person

Salary : $18 - $20
