The Manager, Finance coordinates the daily financial activities and functions for the assigned division(s) including accounting, budget, credit, insurance, tax, and treasury. Furthermore, the Manager, Finance ensures all the University’s financial operations are in compliance with applicable governmental rules and regulations and provides mentorship and training to department staff regarding financial issues. CORE JOB FUNCTIONS Assists with the budget preparation process and monitors units’ performance against budget. Prepares and monitors staffing benchmarks. Translates long-range strategy into executable business cases and financial planning. Assists the Senior Business Officer with performing economic evaluation of new programs and equipment. Performs trend analyses and volume projections. Evaluates spending trends and develops strategies that will ensure compliance with budgets. Forms and maintains effective partnerships across organizational boundaries. Establishes and continuously assesses the effectiveness of the internal controls within the unit and compliance with University policies and procedures. Ensures employees are trained on controls within the function and on University policy and procedures. CORE QUALIFICATIONS Education: Bachelor’s degree in relevant field Certification and Licensing: Not Applicable Experience: Minimum 5 years of relevant experience Knowledge, Skills and Attitudes: Knowledge of business and management principles. Ability to direct, manage, implement, and evaluate department operations. Ability to establish department goals, and objectives that support the strategic plan. Ability to effectively plan, delegate and/or supervise the work of others. Ability to lead, motivate, develop, and train others. DEPARTMENT ADDENDUM Department Specific Functions Responsible for providing timely detailed analysis and/or narrative explanations regarding quarterly and year end budget variances and projections. Will work closely with units to understand and address underlying causes of variances and ensure projections remain within the defined annual budgetary parameters. Manage the creation and updating of various financial documents provided to units to track monthly revenue and expense actuals and projections. Provide ad hoc financial reports as needed, and review/research accounting transactions in the financial accounting system. Provide support and guidance to units with monthly financial reconciliations (including month-end balance sheet reconciliations, as needed) and adherence to annual budget in accordance with University Budget Guidelines. Provide support and offer training to units relating to their financial activities including budget variance and projection sheet completion, correction of accounting mapping issues, and problem resolution to ensure accuracy and efficiency Assist with the monthly management and year-end closing activities of the various units. This can include processing operating and payroll related journal entries, as applicable, for the assigned functional responsibilities Serve as a resource to units and senior staff by providing financial reports that assist with analyzing financial position by cost center and account. Ability to extract and analyze data from various financial and business systems to provide concise detailed variance analyses and interpretation at the Budget Unit and Department level. Provide support and guidance to the units throughout the annual budget planning process. Assist in preparing, managing, and submitting annual budgets thru the budget system for the various units. Review and process monthly transactions in the financial accounting system for Graduate School CollegeNet application related activities Review and process submissions through Financial Aid and the Canelink system for Graduate School fellowship payments and related items such as fee waivers, and transactions related to the Graduate Student Health Insurance subsidy program Responsible for maintaining current knowledge of all University financial policies and procedures, keeping up to date on all Workday business processes and reporting, and keeping updated on other current University systems as applicable. Support the Senior Business Officer and the areas with various financial activities as needed. Advanced level of proficiency in using Microsoft Excel to include pivot tables, v-lookups, macros, and others. Strong organizational skills – ability to work under pressure and under tight deadlines. Strong data analysis skills - ability to provide clear written analysis regarding financial activities easily understood for non-financial audience. Ability to exercise sound judgement in decision making. Excellent communications skills, both written and oral, required Knowledge of University systems preferred (Workday, Tidemark, Canelink).
