Analyst, Lease Administration
What we offer
The Analyst, Lease Administration is responsible for assigned assets with designated Tenants in Shopping Centers and/or Airports within a complex and production driven environment. The Analyst is the expert on their assigned assets and is responsible for developing & maintaining a relationship post lease signature along with owning the relationship as it relates to lease abstraction, invoicing, collection and application of payments along with assessing bad debt reserve. The Analyst will add value for our owners and shareholders along with communicating internally across all levels of the company and the executive team.

Scope:
  • Interprets and abstracts commercial leases, amendments and other legal documents including terms, covenants and billing, inclusive of compliance with REIT and GAAP requirements.
  • Performs monthly billing processes including holdovers, fixed and CPI escalations, sales overage.
  • Clearly communicates complex scenarios and calculations across all levels of external and internal partners including tenants, operating management, center management, leasing and executive level team members as required.
  • Directs and communicates with offshore team regarding billing adjustments and cash applications.
  • Adjusts billing based on fully executed contracts, including percentage rent calculations and recovery escalations (CAM, Tax, Utilities).
  • Applies cash receipts to billing charges with proper remittance support.
  • Investigates and resolves issues interfering with the proper application of cash receipts.
  • Initiates, processes, and resolves problems surrounding tenant refunds of credits and security deposits.
  • Uses lease knowledge and commercial judgement to assess risk.
  • Manages financial aspects of tenant relationships independently and confidently while interacting with internal & external partners and articulating variances.
  • Conducts invoicing and collects unpaid balances.
  • Understands Asset business operations to best support Shopping Center & Operating Managers.
  • Solves complex problems through data analysis.
  • Ensures Tenants are adhering to billing-related terms supported by contract.
  • Delivers projects within the Lease Administration team to support process improvements and efficiencies.
  • Other duties as assigned.

Customer Relationship (Internal & External):
  • Develops & maintains relationship and partners with tenants to support billing-related questions and actively alerts leadership of concerns.
  • Demonstrates an ability to develop relationships and respect with Tenants.
  • Utilizes relationships and connectedness with internal partners to do necessary work as efficiently and effectively as possible.
  • Responds to tenants and internal customers timely and accurately.

Experience:
  • 3 years in a progressive, fast paced externally facing customer service or operations role with diverse customers including commercial real estate
  • Required experience navigating and interpreting commercial leases and explaining complex calculations to tenants.
  • Required ability to address all levels of internal stakeholders and present with professional maturity.
  • Computer skills required including working knowledge of Microsoft Office.
  • Financial acumen, with a strong focus on customer service.
  • Preferred experience includes thorough understanding of accounting controls, GAAP, with deep & progressive experience in invoicing, collections as well as Real Estate and Property Management experience. Experience and use of an ERP software (i.e. JD Edwards/Yardi/MRI) as well as an awareness of best-practice solutions & interfaces for their respective field(s).

EDUCATION
  • Bachelors’ Degree or equivalent combination of education & experience.
  • Preferred: BA/ BS degree in Accounting, Finance or related field; Paralegal, MBA or CPA. Property Management or Real estate experience is desirable.
