Position Overview

The coordinator supports the Global Health team and Vice President for Global Health Strategy on administrative and operational matters, aids in team planning and efficient performance, and takes on special projects to support the advancement of team objectives.
This position is based in Washington, DC (Hybrid schedule).
Essential Functions
Administrative Support (30%)
- Provide administrative support to senior members of the global health team.
- Calendar management and organizing internal and external meetings for the Vice President.
- Prepare monthly American Express and other expense reports for Director, Senior Director and Vice President.
- Travel logistics for Director, Senior Director and Vice President.
- Tracking and supporting Vice President’s commitments and work as a member of two external Boards of Directors.
Program & Operational Support (70%)
- Provide team-wide coordination and support for optimal performance.
- Provide research and writing support to Global Health team, including briefing papers, executive summaries, analyses, and occasional blog posts and presentations
- Prepare, finalize, and distribute briefing notes for leadership team and monthly foundation updates
- Support the continued development and implementation of operational processes, including project managing team wide strategic planning and developing/maintaining planning and monitoring tools, as needed
- Ensure timely and accurate monthly reporting to leadership and quarterly reporting to SP&I by coordinating inputs from team members and developing a narrative
- Assist team with regular updates of contact information into Salesforce. Serve as team’s Salesforce Champion
- Create and maintain Global Health calendar and maintain global health calendars for annual World Health Assembly and UN General Assembly meetings
- Develop agendas for internal team meetings, take and circulate notes, and track action items.
- Work with colleagues across the global health team, and UNF’s contracts and finance teams, to prepare service agreements and shepherd through execution, and payment requests to vendors, grantees and other service providers
- Attend training sessions provided by UNF’s contracts team to maintain and keep up to date with UNF’s current policies and procedures and assist team with coordinating overall grant management tracking and reporting, as any policies, systems, procedures change
- Work with the team to support some elements of Global Health grant portfolio (approximately 5 grants/year), including communicating with grant beneficiaries on proposal, reporting, extension, and closing of grants and contracts with oversight from supervisor
- Coordinate as needed with other Foundation teams
- Serve as logistics/administrative support in event organization for select external meetings and events (approximately 5-8 per year)
- Maintain working knowledge of the UNF agreement process (for both contracts and grants), and when to utilize the proper templates accordingly. (As applicable to the role)
- Draft and review agreements and maintain an understanding of all agreement terms and applicable flow-downs, consulting with UNF’s finance/contracts team as needed. (As applicable to the role)
- Attend training sessions provided by UNF’s contracts team to maintain and keep up to date with UNF’s current policies and procedures. (As applicable to the role)
- Maintain a strong knowledge of UNF’s Salesforce database to be able to process and track agreements, extract information, and prepare reports. (As applicable to the role)
- Other duties as assigned
Selection Criteria
- Bachelor’s degree required: focus in international affairs, public health, or related field preferred
- 1-3 years of applicable work experience providing executive level administrative support, logistical support, and/or project management/business operations support
- Passion, knowledge or work experience in global health and development issues preferred.
- Familiarity with the United Nations preferred
- Experience working in an office setting, with track record of success
- Excellent oral and written communication skills required, including the ability to analyze and translate or distill complex scientific and policy issues into memos, reports, or blog posts
- Demonstrated ability to establish and maintain effective working relationships with diverse partners; ability to operate collaboratively and communicating clearly, often under time pressure, and with discretion, tact, diplomacy, cultural sensitivity, and empathy
- Ability to take initiative; the ideal candidate will be a self-starter who is comfortable carrying out multiple tasks on different projects and assignments, is dependable and consistent, enjoys being part of a team and anticipates team needs
- Strong research skills
- Ability to organize and classify materials (electronic and hard copy) effectively
- Previous experience with Salesforce preferred
- Experience with event logistics preferred
- Advanced experience in Word, Excel, PowerPoint, and Outlook
- Ability to work under pressure and handle stress
