SUMMARY:
The Retail Fuel Specialist provides support crucial to managing and maintaining United Pacific’s retail fuel inventory, pricing and fleet supply. The Specialist will monitor and report fuel inventory, provide forecasting, perform ordering and delivery scheduling and is responsible for all inventory variances. This role also supports the Director, Car Wash and Retail Fuel with general administrative needs including producing ad-hoc reports related to retail fuel. This role is responsible for supporting incoming calls and emails related fuel pricing, supporting store queries and concerns and escalating issues to the Director when needed.
ESSENTIAL JOB FUNCTIONS:
- Monitor retail fuel inventories for all United Pacific unbranded and Shell sites and support potential fuel run outs
- Coordinate delivery and developed delivery schedules with fuel partners and retail sites
- Review sales fuel leads and update and maintain a log of all leads, communicate leads to the Outside Sales team and the Director.
- Monitor new retail fuel accounts and assist the Director in developing strategies to further facilitate success.
- First level response for all fuel challenges related to inventory and supply including runouts, alarms and inventory variances
- Maintain retail fuel data related to pricing, and ensure pricing system is correct and data accuracy is maintained daily
- Monitor daily fuel survey data, flag missing reports and perform root cause analysis with retail stations when data is missing or incorrect
- Calculate daily fuel orders, process purchase orders, communicate fuel order changes and support the Director with forecasting inventory needs
- Communicate with freight carriers regarding the timeliness, accuracy, and possible adjustment of dispatched deliveries
- Monitor suppliers and carriers for alternate supply points for “best choice” supply decisions
- Maintain, modify and update fuel database records for all retail outlets; e.g., allocation spreadsheets and requests, regulatory compliance tracking
- Review and communicate retail fuel pricing changes and ensure communication to the store level
- Maintain the database for retail fuel purchase information
· Ensures effective communication with retail fuel suppliers and respond to inquiries, pricing updates and any billing concerns related to retail fuel pricing
- Answer incoming calls and emails and respond to questions and requests for information related to fuel inventory
- Maintain and update department documentation, processes and procedures
· Support ad hoc projects related to retail fuel operations
JOB QUALIFICATIONS:
- Minimum 3-5 years of experience with United Pacific, or competitor c-store operations, is required
- Bachelor’s degree or equivalent experience strongly preferred
- Prior experience supporting inventory ordering and fuel pricing strongly preferred
- Prior administrative experience in a corporate environment is also preferred
- Proficient in Microsoft Office Suite including Word, Outlook, PowerPoint, and possessing at least intermediate Excel skills is required
- Ability to write, speak, and interact clearly and professionally with diverse teams at multiple levels is required
- Must be extremely organized with proven multi-tasking and time-management skills
· Effective problem-solving ability is critical
· Strong demonstrated success in handling multiple projects at a time in a very fast-paced environment is required
