The Medical Staff Assistant provides support services for the Medical Staff Manager, provides administrative assistance in the Medical Staff offices, and assists the Medical Staff Manager with applications and reappointments of Medical Staff, as well as a variety of other administrative, regulatory or compliance related tasks. Occasionally may perform some limited duties assisting physicians with varied administrative tasks.

Responsibilities:
Essential Functions
  • Contributes to confidential research required for initial membership applications for physicians, dentists, podiatrists and Advanced Practice Professionals.
  • Contributes to confidential research required for ongoing credentials and reappointment applications for physicians, dentists, podiatrists and Advanced Practice Professionals.
  • Contributes to and assures compliance of monthly committee, department and Medical Staff meetings consistent with Medical Staff Bylaws, Rules and Regulations, and policies & procedures.
  • Contributes to maintenance of up-to-date automated databases of physician related information to assist in Medical Staff credentialing.
  • Provides administrative support to hospital-based physicians whenever needed, including scheduling of meetings, assistance with completion of documentation essential to the physician in the carrying out of his/her duties, and other requests as defined by the physician.
Nonessential Functions
  • Maintains office and kitchen supplies and places reorders as needed, bearing in mind costs associated and inventory constraints.
  • Contributes to successful implementation of Medical Staff meetings, including meeting notice to attendees, collection of pertinent data for discussion at meetings, and taking of minutes as needed.
  • Various other duties as assigned by manager to ensure the successful operation of the Medical Staff Office and Physician Lounge at all times.
Basic UPH Performance Criteria
  • Demonstrates the UnityPoint Health Values and Standards of Behaviors as well as adheres to policies and procedures and safety guidelines.
  • Demonstrates ability to meet business needs of department with regular, reliable attendance.
  • Employee maintains current licenses and/or certifications required for the position.
  • Practices and reflects knowledge of HIPAA, TJC, DNV, OSHA and other federal/state regulatory agencies guiding healthcare.
  • Completes all annual education and competency requirements within the calendar year.
  • Is knowledgeable of hospital and department compliance requirements for federally funded healthcare programs (e.g. Medicare and Medicaid) regarding fraud, waste and abuse. Brings any questions or concerns regarding compliance to the immediate attention of hospital administrative staff. Takes appropriate action on concerns reported by department staff related to compliance.
Qualifications:

Education:


  • High school diploma or equivalent.

  • Associate degree in business, health administration, related field, or equivalent experience.


Experience:


  • Two years’ experience in an administrative support field preferred.


  • Two years of administrative secretarial experience in health care or related field
  • Experience in physician credentialing a plus.


License(s)/Certification(s):


  • Valid driver’s license when driving any vehicle for work-related reasons.


Knowledge/Skills/Abilities:


  • Experience with Microsoft Office software applications-Word, Excel, Outlook, PowerPoint and Adobe.


Other:


  • Use of usual and customary equipment used to perform essential functions of the position.
