The Green Cluster Administrative Unit consists of several units within the College of Letters & Science’s Division of Social Sciences. The Anthropology and Sociology Departments, along with the Program in Middle East/South Asia Studies are academic units with over 50 senate faculty and approximately 35 non-senate faculty/lecturers.

(This is not a remote position, but a hybrid schedule will be possible)

Job Summary

The Academic Personnel Analyst, under the general supervision of the Chief Administrative Officer (CAO), provides analytical and administrative support for all actions pertaining to academic personnel matters in the Green Cluster Administrative Unit. This is one of two positions that support the Department of Sociology, Department of Anthropology, and the Program in Middle East/South Asian Studies. This position acts as a resource for academic personnel policy and practice; analyzes reviews, prepares, and processes academic actions, including appointments, merits, promotions, appraisals, recruitments, leaves, changes in status, salary adjustments, appeals, etc; determines eligibility of all academic titles for merits, promotions and appraisals and compiles/prepares dossiers. The position provides administrative and analytical support for the recruitment process for academic positions, and serves as a resource, providing advice, interpretation, and guidance regarding academic personnel issues for directors, faculty, managers, and staff. This position is responsible for faculty sabbatical leaves, key control, event coordination and summer session planning.

WORK ENVIRONMENT

  • Work flexible schedule and occasional overtime to meet deadlines or operational needs.
  • Work effectively in a fast-paced environment with frequent interruption.
  • Vacation is restricted during major deadlines or operational needs.
  • This position will have the opportunity for a Flex Work hybrid schedule, a mix of on-site and remote work. The incumbent is required to be on site 2 days per week and has the option to work remote 3 days per week, but the incumbent will be expected to come in additional days based on operational need. The Flex Work hybrid schedule is subject to change based on operational need.
  • This position is not eligible for a fully remote work schedule.

MINIMUM QUALIFICATIONS

Minimum Education/Experience:

  • Experience with academic personnel policies and procedures in a higher education setting; experience with the recruitment and advancement of faculty in a university/college setting.
  • Experience managing projects and multiple tasks including planning and coordinating assignments, adapting to changing priorities, meeting deadlines and maintaining a high level of productivity and efficiency.
  • Experience utilizing business software applications such as Microsoft Word, Excel, OneDrive applications, and electronic Accounting and Academic Personnel Systems.
  • Experience gathering and synthesizing information from a variety of sources to translate, define and present the information to others

Minimum Knowledge, Skills, and Abilities (KSA) :

  • Analytical and critical thinking skills to interpret policies and procedures; to analyze complex information or problems in an objective manner; to establish priorities, develop creative solutions to general problems; and to select appropriate course of action or recommendation to resolve conflicts.
  • Communication skills to communicate effectively and professionally with administration, faculty, staff, visitors and volunteers, using tact, diplomacy, and good judgment during all interactions; interpersonal skills to work effectively and sensitively with individuals from diverse cultural backgrounds and perspectives to build mutual respect, fairness, and equity.
  • Demonstrated writing, editing and proofreading skills.

PREFERRED QUALIFICATIONS

Preferred Education/Experience:

  • Knowledge and experience with MyInfoVault, APHID, AP Recruit, and other academic personnel web applications.
  • Knowledge and experience processing visas.

Preferred Knowledge, Skills, and Abilities (KSA) :

  • Knowledge of UCD Academic Personnel Manual, with familiarity with Academic Senate and Academic Federation employment regulations.
  • Knowledge of campus policies, resources and services.
