Position Summary
The Associate Director is responsible for providing leadership and direction to the Greek Life Office in the absence of the Director of Greek Life. The position will be responsible for curriculum design, implementation, and assessment of Greek Life Office programming including but not limited to Greek Leaders' Retreat, Chapter Presidents' training sessions, and new member institutes or orientation sessions. The Associate Director will also oversee the implementation and annual review of the Standards of Excellence program to assist with chapter growth and impact. The Associate Director will also serve as the primary advisor to the Panhellenic Council, its respective Executive Board, and the 20 nationally affiliated sororities, totaling over 6,000 women. In the capacity of primary advisor, the Associate Director would manage an annual recruitment and educational budget of approximately $500,000. The Associate Director will also coordinate the recruitment program for 2000 participants. The position serves as direct supervisor for one full time Senior Coordinator position and the Council Advisor Graduate Assistant. The Associate Director responds independently to crisis and behavioral concerns impacting Panhellenic. This position will also support UGA Miracle with a portion of their advisement and direct supervision of the UGA Miracle Graduate Assistant.

  • Background working successfully with Greek/student life/student affairs programs and operational knowledge of fraternity and sorority programs.
  • Membership in a Greek organization is highly desirable.
  • Understanding the role of Greek Life at a large, complex institution.
  • Incumbent is expected to demonstrate discretionary skills and professional judgement with the ability to establish and maintain professional working relationships with students, faculty, staff, alumni, and national organizations.
  • Demonstrated effective written and verbal communication to stakeholders at various levels.
  • History working directly with students through individual and group advisement.
  • Understanding of financial oversight and adherence to financial policies and procedures.

Duties/Responsibilities

Panhellenic Advisement
  • Directly advises the Panhellenic Council, the Panhellenic Council Executive Board, and 20 nationally affiliated women's fraternities, totaling over 6000 undergraduate women.
  • Coordinates the Panhellenic recruitment program including registration, recruitment registration, event scheduling, and computer management system for 2000 potential new members.
  • Develop comprehensive recruitment counselor training program for 120 recruitment counselors.
  • Maintains fiscal oversight of recruitment and educational program budgets, totaling approximately $500,000 annually and utilizes appropriate procurement and contracting policies.
  • Creates, executes, and supports initiatives in programming areas such as risk management, hazing prevention, sexual responsibility, scholarship, diversity, officer training, chapter development, membership recruitment, new member orientation, alcohol and other drug education to immediately address health, safety, and wellness issues within and among chapters.
  • Creates and sustains partnerships with chapter advisors, house corporations, national and local community stakeholders, alumni, and national organizations to assist in the development of a positive Greek Life community.
  • Serve as a liaison between House Corporation Boards, House Directors, and the Greek Life Office to assist with the execution of housing programs for chapters.
  • Maintains data and records associated with recruitment statistics, chapter rosters, and grade reports to assist with data formed decision making.
  • Independently produces reports for UGA, sorority chapters, sorority national offices, alumni, and the general public.
  • Provide direct supervision of one Graduate Assistant Council Advisor.
  • Hire, train, supervise, and evaluate one full time Senior Coordinator position.
  • Provide leadership and direction while representing the department and Director in the absence of the Director.
  • Make independent decisions regarding programs and services that this position oversees as well as make referrals to the Office of Student Conduct, University Police, Equal Opportunity Office, the Office of the Dean of Students, and other authorities/units as necessary.
  • Interpret and enforce Greek Life Office policies and procedures and at times develop and implement those accordingly.

Learning & Improvement
  • Design and implement the assessment and improvement cycle for Greek Life to evaluate the effectiveness of programs and services offered to the Greek community by the Greek Life Office and the governing Councils.
  • Collect and analyze data related to Greek Life to identify trends and create a culture of continuous improvement within the department.
  • Create reports and presentations based on assessment data to share with university administration, staff, and students.
  • Provide leadership and support for the planning and execution of educational programs and initiatives offered by the Greek Life Office.
  • Execute the Standards of Excellence and Greek Life Awards Program.
  • Oversight of Greek Life's university-approved experiential learning opportunities across councils, including the identification and launch of new opportunities.

UGA Miracle Advisement
  • Provide direction and support to UGA Miracle for the planning and execution of fundraising initiatives including but not limited to Beyond Zero, Ring The Bell, Presidents' Day, and the annual Dance Marathon.
  • Ensure compliance with the Policy for Programs and Activities Serving Minors including registration of programs/activities, scheduling appropriate training of student leadership, distribution of the Code of Conduct, applicable forms, waivers, and any supplemental program/activity guidelines.
  • Provide direct supervision to the UGA Miracle Graduate Assistant position.

Crisis & Community Response
  • Independently monitors the after-hours cell phone and responds to crisis and conduct/behavior concerns impacting the Greek community.
  • Updates appropriate staff members and Director as necessary.
  • Available 24 hours a day during on-call period to directly and independently respond to calls and make referrals to University Police, Office of Student Conduct, Office of the Dean of Students, and the Equal Opportunity Office, when necessary.
  • Partners with campus partners such as Student Care & Outreach, Counseling and Psychological Services (CAPS) to coordinate response and support to chapter leadership, advisors, and members.

  • Directs, in consultation with the Panhellenic Council, all operations of the UGA Student Food Pantry, including sharing of data associated with the pantry with Student Care and Outreach.
  • Coordinates departmental programming/training for Alcohol & Other Drug Prevention Education with University Health Promotions and Student Care and Outreach.
  • Facilitates the identification, recruitment, training and development of session leaders for the Body Talks program in partnership with Student Care and Outreach.

Development and Scholarship Stewardship
  • Steward the scholarship distribution process for assigned Greek Life scholarships provided through Student Affairs Development.
  • Assist in the identification and cultivation of new donors specifically focusing on Panhellenic alumni to support the strategic development/fundraising plan for the Vice President of Student Affairs.
  • Attend donor events as needed.
