The Prosthodontics Division Administrator will independently oversee the administrative management of the Division of Prosthodontics and the Department of Restorative Sciences. This includes but is not limited to providing direct support to the Division Director, supervising and developing the division administrative team, playing a key role in administrative planning, and contributing as appropriate to departmental, division, and service line projects, vision and goals. Financial and clinical work target planning, overview and management is required of this position. This position will also partner with
internal laboratories to ensure proper accounting and payments.
Administrative Oversight and Planning (50%)
- Overseeing day-to-day administrative operations for the Prosthodontics Division, which requires,
- planning, process development and management of workflows, and investigating problems and
- identifying solutions in line with University policies and procedures
- Provide counsel and guidance to Director on issues related to the administrative functions of the
- division
- Plan short and long-term clinical plans, including schedules for the Predoctoral Clinic, Graduate
- Clinic, Implant Clinic, Night Clinic and PreClinic, in consultation with clinical operations,
- division leadership and faculty
- Schedule and facilitate division meetings; create agendas and provide meeting action items for department historical record
- Research and recommend equipment purchases to support the administrative function
- Providing recommendations, consulting and implementing plans on space utilization and
- equipment
- Partner with patient accounting to correct discrepancies affecting grades and/or care
- Partner with Color Group Administrators and Clinic Manager to ensure clinical operations run
- smoothly and faculty schedules align with student and patient needs.
- Provide general administrative support to various processes supporting faculty recruitment and
- the clinical education, service, and research goals of the division
- Provide backup administrative support to direct reports and department administrator
- Develop communication strategies for department initiatives; Create, edit and distribute
- communications related to the division used in newsletters, bios, websites, marketing, reporting
- and other internal and external facing entities
Administrative Support for Division Director, Clinic Director and Division Faculty (30%)
- Maintain professional clinical and academic calendars
- Provide course support for the Prosthodontics clinical course
- Coordinate professional meetings and make arrangements for the attendance of national meetings
- Prepare reimbursements
- Update CVs and assist with licensing, training, and other compliance-related requirements
Manage Office Support Staff (20%)
- Supervise and provide general oversight of administrative office staff
- Ensures work quality and efficiency by managing workflows, office policies, and expectations
- Participate in the development of administrative staff, including but not limited to coaching,
- providing timely feedback, performance assessment, expectation and goal setting
- Participates in disciplinary actions and procedures as appropriate
- Oversee administrative staff searches, selection processes, and onboarding
- Partners with human resources on employee selection, development, relations, performance, and other related opportunities
