General Description / Primary Purpose
The Associate Director Student Financial Aid, under the direction of a Director or above, assists in the design, development and implementation of departmental processes and/or programs. Recommends policies and procedures to ensure effective coordination of departmental programs.
Essential Duties
Job Function
Provides support to the Director of Student Financial Aid in managing Financial Aid process workflow. Performs federal/state mandated audit of parent/student personal financial data. Processes in-house corrections for the Federal Student Aid Report (includes monitoring problems with the correction process and communicating them to the supervisor). Assists with refunds and repayment calculation and process for all Title IV programs. Prepares reports and responds to surveys. Administers financial aid technology related security (Federal, State, Institutional, Private Enterprise). Serves as primary Financial Aid office liaison to all university technology teams for software related upgrades, testing, and set-up. Act as the secondary Destination Point Administrator (DPA) for access to US DOE systems and websites. Assign and audit tokens for access to the federal systems. Oversees Continuing Operations Departmental Plan (COOP) for financial aid. Processes internal technology functions of the Financial Aid office as well as the external flow of information to students regarding their Financial Aid awards.

Trains and supervises 7 support staff (5 Financial Aid Specialists, 2 OPS Data Entry), 6 Coordinators, 1 Technical Specialist, and 1 Assistant Director. Assists in training coworkers in various financial aid processes.

Assists with the administration of all state programs including but not limited to Florida Student Assistance Grant, Florida First Generation Matching Grant, Bright Futures Scholarship, and Children and Spouses of Deceased or Disabled Veterans.

Evaluates students’ financial aid files against supporting documents, i.e. parents and student taxable income from federal tax forms, untaxable income, family household size, number in college, and assets of the family. Determines eligibility for awarding financial aid programs (Federal, State, and Institutional) and resolves over-awards. Processes information in the financial aid system pertaining to the loan programs for awarding and disbursing of funds. Monitors all loan programs for Federal regulations and determines student’s eligibility for disbursing. Assists with the maintenance of student loan check records received from lenders.

Assure that NCAA, Conference, and UNF regulations are followed and any violations are reported to Athletic Compliance. Oversee the processing of the athletic aid according to NCAA and Atlantic Sun Conference bylaws and guidelines.

Assists in the recording of professional judgment petitions after decisions are made by the committee. Assists with Satisfactory Academic Progress (SAP) appeals processing.

Assists with public information and public relations events pertaining to financial aid. Supervises the intake and imaging of documents for the Financial Aid Office. Serves as liaison between One-Stop and Financial Aid for dealing with specific student financial aid issues that One-Stop is unable to resolve. Manage financial aid process planning calendar to ensure that all processes and dates are listed for compliance purposes. Represent the Financial Aid Office and UNF at professional conferences and meetings at the local, state and national levels. Complete a monthly audit of financial aid functions. During declared campus emergencies, this position may be required to perform specific job related duties at a designated off campus location or place of residence.
