The University of Notre Dame (ND.jobs) is accepting applications for a Conference Coordinator.

The conference coordinator primarily supports the director of international conferences, who manages academic and scholarly events across the global network, which consists of five Global Gateways (in London, Rome, Jerusalem, Beijing, and Dublin) and six Global Centers (in Santiago, Mexico City, So Paulo, Hong Kong, Mumbai, and Kylemore in western Ireland). This position is also the primary point of contact for virtual events held across the network, and assists the global staff in promoting and executing these events. Additionally, this position handles special projects and provides administrative support to the senior director of global operations.A primary aspect of this role is supporting the director of international conferences in planning and executing conferences around the world. Responsibilities include:
  • Communication with faculty, departments, global network, and local vendors for planning purposes
  • Tracking expenses and monitoring conference budgets
  • Coordination with Anthony Travel for speaker and guest travel arrangements
  • Processing of invoices, honoraria, and payment requests
  • Coordination with communications teams at NDI and/or in other units to prepare conference/event materials
  • On-site execution of conferences on campus and abroad (as required)



This role also supports the global leadership team in promoting, managing, and executing virtual events, serving as the primary point of contact for NDI's webinar license. It also provides administrative support for the senior director of global operations and manages special projects.This is a hybrid-optional position, up to two days remote per week if desired. Occasional international travel may be required.Notre Dame International (NDI) is a division of the University of Notre Dame responsible for furthering the University's global engagement through Study Abroad, American Short-Term Programs, and International Student and Scholar Affairs. NDI's 11 Global Gateways and Centers, located in nine countries, provide intellectual hubs for international partnerships, faculty research and student programs. NDI supports students, faculty, and staff in providing health and safety training, and resources for international travel.

Minimum Qualifications:
  • Must be able to work independently with little direction, work well with others and function in a customer service, team-oriented environment while maintaining a positive and professional demeanor
  • Strong communication skills, both oral and written, as well as ability to proofread carefully
  • Effective time management and organization skills
  • Detail oriented to manage multiple activities at any given time with minimal supervision
  • Strong interpersonal skills to deal effectively and courteously with a diverse group of individuals
  • Ability to handle confidential materials with discretion
  • Proficiency in Microsoft Word, Excel, the Google workspace environment, and ability and willingness to learn other software systems as needed
  • Schedule will include some nights and weekend hours if required to support events; Occasional international travel may be required



Preferred Qualifications:
  • Bachelors degree
  • Experience in higher education
  • Communication experience in a multicultural environment; international experience or exposure
  • Fluency in a language other than English
