Job Description Summary
Representing the Office of Academic Affairs (OAA) and working in close collaboration with the Office of Inclusion, Diversity & Equity, supports and advances institutional diversity and inclusion goals through ensuring compliance with related federal, University and Perelman School of Medicine (PSOM) policies, and assisting with the development, enhancement, delivering, and supporting faculty diversity and inclusion programs and initiatives. Reporting directly to the Director of Faculty Administration the Assistant Director supports PSOM's recruitment of a diverse faculty by leading, guiding, facilitating, and managing the various faculty search processes and ensuring compliance with federal, University, and PSOM policies and best practices.
Key aspects of this position include, cultivating productive partnerships with academic leaders and administrators, facilitating training and providing resources, managing and providing oversight of search and recruitment systems as needed, collection and analysis of data for faculty planning, recruitment and retention. The position serves as one of the school's subject matter expert on faculty search policy, process, procedures, and proven practices in advertising, sourcing, interviewing, and other topics related to faculty recruitment and retention strategy.

Job Description

Represents OAA, in partnership with the Office of Inclusion & Diversity (OIDE), the Assistant Director supports PSOM and the University's mission to identify, attract and retain a diverse faculty. The Assistant Director works closely with OIDE on diversity and inclusion initiatives and assisting with the development of retention packages.

Prepare PSOM Report for University Affirmative Action Plan annually to document faculty diversity initiatives and activities in administrative units in PSOM. Assist with the preparation of abstracts for posters and topic sessions at national meetings to represent PSOM inclusion and diversity programs and initiatives.

Prepare reports of minority, under-represented minorities (URM) and women faculty in PSOM as requested by Office of Inclusion & Diversity, Center of Excellence for Diversity and Health Education, FOCUS and the Program for Diversity & Inclusion in Academic Programs. Respond to requests for diverse faculty reports from DSAs, student groups, and other faculty.

Work collaboratively with OIDE/OAA to repeat the Time and Motion Study related to recruitment of faculty.

Oversee the Diversity Search Advisor (DSA) Program, which includes DSA's and Lead DSA's who within their departments are tasked with promoting PSOM and University goals for faculty diversity and inclusion in the areas of faculty searches, tracks, and appointments. They are responsible for orientation of new Lead DSAs, partnering with them on orientation for new DSAs and providing guidance where needed. The Assistant Director supports training resources that support understanding of policy, procedure, and best practices for Lead DSAs and DSAs. They collaborate with OIDE in addressing unconscious bias education and partner with OAA's Director of Faculty Employment and Business Systems Analyst on data and reporting needs.

The Assistant Director will work closely with departments and other university stakeholders as requested related to high impact recruitment, such as Presidential Professorship Nominations, and Faculty Opportunity Fund. The role will provide guidance to departments, facilitate documentation, review requests, and work collaboratively with other process partners such as Lead DSAs, faculty affairs leaders from other schools, OIDE, the Dean's Office, and the Provost Office.

Faculty Search Process PSOM - Oversee faculty searches and the online faculty recruitment system, including the Ad Generator, Applicant Reviews, and Affirmative Action (AA) Appointment Forms. Provide orientation and training to faculty coordinators, department staff, and faculty involved in faculty search processes and AA Form documentation. Consult and strategize with staff and faculty on faculty ads and recruitment issues. Develop search training /education for faculty and department leaders as needed. Address and resolve AA Appointment Form issues proactively to meet University requirements for final approval of faculty searches by Provost's Staff Conference (PSC). Working in partnership with the Director of Faculty Administration, consult with departments to review and process faculty search waiver requests to ensure high level of approvals by the Provost's Office. Interface with PSOM IT staff and department staff to resolve technical and reporting issues in the online faculty recruitment system in a timely format.

The Assistant Director will participate in working groups, assist with OAA plans to operationalize change, resource development, systems assessment and feedback. The Assistant Director serves as the PSOM OAA lead on the Business Process Improvement Working Group, a university-wide project led by the Provost Office to improve processes that relate to faculty actions. This position is a collaborative effort with OAA's Business Systems Analyst and other key stakeholders/administrators. Represent PSOM's perspective/interest at bi-monthly meetings.

The Assistant Director will serve as consultant and liaison to their OAA counterpart supporting academic reviews (search through academic reviews), providing guidance to departments and CHOP administrators, working with the Business Systems Analyst in addressing reporting needs for CHOP, and facilitating connections at the university. The role will work to identify unique needs within PSOM, HUP, and CHOP, as they relate to faculty affairs, and potential opportunities to address those needs.

The Assistant Director will be an active member of OAA's web review team. Collaborate with the Director of Faculty Development, OAA leadership, and the PSOM web team on varying phases of OAA's website redesign. The efforts include but not limited to: design enhancements, needs assessments, prioritization, utilizing MODX. Particular focus will be given to the faculty affairs area of the site. The development of best practices for OAAs site submissions and maintenance is a collaborative effort with the OAA team.

Qualifications

Bachelor's degree and 5-7 years of related experience required or equivalent combination of education and experience. Proficiency in Microsoft Office, demonstrated experience working with systems and applications. Excellent organizational and prioritization skills; strong verbal and written communication skills; ability to deal effectively with diverse constituencies.

The job pay range encompasses the full range of employees from new hires to the salaries of Penn employees with many years of experience and seniority and is not a precise indicator of salaries of new hires when looking at the top end. Based on what we pay employees coming into this position our pay range is $59,703 - $113,435 based on education and experience above the minimum qualifications.
