Advertised Job Summary
Serves as the gateway for the dean and director of strategic initiatives, assisting faculty, staff, students, parents, outside constituents and the public. In collaboration with the CON Operations Coordinator, manages the central telephone and all related calls for the Dean’s Office and College of Nursing; greets and directs all incoming guess and walk-ins; assist students with navigating though the CON as needed.
Creates and coordinates front office coverage schedule, ensuring the Dean’s Suite is open M-F 8:30 a.m. – 5:00 p.m., has a professional appearance, operates smoothly, and guess have a positive experience.
Manages the dean’s appointment calendar to include preparation/provision of all information and materials for briefing the dean. Ensures the dean follows the established schedule to remain on time.
Manages serves as the dean’s liaison with faculty, staff, students, parents, outside constituents, and the public. Responsible for preparing general correspondence for the dean’s signature and maintaining the dean’s office flies.
Manages all aspects of the domestic & foreign travel arrangements for the dean.
Coordinates general administrative, business management and support activities for the dean and dean’s office through University business operations support: processing payment requests, processing check requests, submitting expense reports, travel authorizations and reimbursements, membership & subscription tracking & payment.
Provides administrative support to the Director of Strategic Initiatives.
Coordinates travel arrangements, accommodations, meetings and contracts for College of Nursing faculty recruits, consultants and other visitors.
Assists with the planning and implementation of special projects and strategic planning.
Assists with the planning and implementation of CON meetings and events through document preparation, itineraries, reservations, catering, set-up/clean-up, etc.
Serves as back-up support for the Operations Coordinator; and other duties as assigned.
Minimum Qualifications (Classified and Unclassified positions)
Bachelor’s degree and 6 years related experience in business management, public administration, or administrative services; or equivalency.
Knowledge/Skills/Abilities
Expert computer skills with Microsoft Office programs. Skills in creating Excel databases. Ability to communicate effectively orally and in writing with faculty, staff, students, and the general public. Ability to establish and maintain effective working relationships. Ability to exercise discretion in interpreting and applying established policies and procedures. Ability to understand and carry out complex oral and written instructions. Ability to set priorities and manage details independently.
