What are the responsibilities and job description for the Clinic Manager position at University of the Pacific?
Primary Purpose:
Under the general supervision of the Chairperson, Pediatric Dentistry, supports and contributes to the Pediatric Dentistry mission by managing the daily clinic activities, supervising the Pediatric Clinic staff, and supporting students' educational experiences.

Essential Functions:
Provide appropriate information regarding clinic policies and procedures to staff, faculty, students, and patients. Participate in daily clinic huddles and departmental meetings.
Identify and implement changes in clinic policy and procedures after review with and approval of the Chairperson, Pediatric Dentistry.
Participate and support the development of long-term strategies to meet changing needs of the dental school. Provide coaching and mentoring for change, and transitions within the Pediatric Clinic and dental school.
Ensure clinic standard operating procedures, protocols and general school business procedures and policies are observed; identify/implement updates as needed.
Resolve patient/parent dissatisfaction or concerns. Provide mentoring for student and staff concerns or issues, as needed.
Provide daily oversight of patient accounts receivable activities to ensure implementation of clinic and school of dentistry policies and procedures; monitor clinical finances.
Provide daily oversight of clinic patient financial hardship fund (GKID) approval to ensure funds are used to support patient care and patient care activities.
Interview and determine applicant selection for staff and temporary help positions; follow policy and procedures for dismissal of staff. Provide coverage for support staff, as needed
Coach, lead and mentor staff; manage work performance to include training, work distribution, performance appraisals, adherence to clinic policies and procedures, work schedule and commendation or disciplinary procedures; conduct quarterly staff meetings.
Coordinate extra-clinical activities to include operating room/sedation cases, patient referrals and outreach programs. Manage set up and scheduling of operating room cases and all other off site patient treatment.
Maintain consistent and open communication with county agencies, school programs, hospitals, and other similar agencies.
Prepare reports according to established guidelines for the Chairperson, Pediatric Dentistry, regarding staff, students, and production.
Maintain current records of full and part-time faculty credentials as they pertain to hospital and other off-site treatment location privileges manage faculty clinic scheduling and correspondence relative to same.
Provide orientation and evaluate students on clinic policy and procedures; in the absence of faculty, supervise students in nonclinical activities.
Review DAU evaluation of student performance and prepare grades for submission. Provide continuing support and development of the DAU program to include educational materials, evaluation forms, and DAU objectives.
Support the objective of professionalism, understanding, compassion and patience, even in the most difficult situations.
Help with the initiation of the new pediatric faculty practice and residency program, help interview, and train as needed.
Perform all other duties as assigned by the Chairperson, Pediatric Dentistry.
Minimum Qualifications:Knowledge of:
Dental practice management.
Electronic dental billing systems.
Accounts receivable and collection procedures.
Dental terminology/treatment and insurance procedures.
Microsoft Word and Excel, e-mail, and database systems.
Experience:
Minimum three years office management experience and/or three years of supervisory experience in a dental or medical office. Education:
High school diploma or equivalent. Working Conditions:
Position is full-time, eight hours per day, five days per week.
Occupational exposure to blood borne pathogens may reasonably be anticipated. Personal protective equipment.
Preferred Qualifications:Experience:
Prior experience working within a pediatric clinic environment or practice, highly desirable.
Ability to:
Communicate effectively with patients, staff, students, and faculty.
Exercise autonomous judgment and discretion with sensitive/confidential information.
