At UPA Production Services we provide union labor for large productions nationwide. The Payroll Specialist position is part of a team responsible for accurate and timely processing of high-volume unionized payroll including data entry, benefits, garnishments, taxes, and invoicing.

Essential Job Duties & Responsibilities

  • Review calendar of weekly productions and prioritize payroll based on contractual obligations.
  • Audit timesheet information in preparation for weekly payroll including evaluation of timecards and timesheets.
  • Troubleshoot timecard discrepancies or issues and escalate to supervisor when needed.
  • Heavy data entry of employee hours using a variety of timesheets/stewards reports with utmost accuracy and timeliness.
  • Analyze, interpret, and comprehend payroll data to discover and prevent processing errors.
  • Calculate benefits according to each specific union contract.
  • Calculate and enter client invoices into software system in preparation for disbursement.
  • Resolve employee inquiries with a high level of customer service and respect.
  • Onboard/update a high fluctuation of new & existing employees in software system (Sage100) using applicable W-4, I9 & sate withholding forms.
  • Enter and/or respond to IRS & State Withholding garnishments, as necessary.
  • Download/scan employee documents and save to appropriate files.
  • Complete and return verifications of employment, state benefit audits and other miscellaneous payroll department correspondences.
  • Answer and direct phone calls when needed.
  • Collaborate with team members on special projects and always seek to improve processes.

Position Requirements

  • Minimum of 3 years payroll processing experience with working knowledge of accounting practices and principles.
  • Proficient in 10-key & typing.
  • Ability to work accurately with numerical detail.
  • Excellent written and verbal communications, including following directions, documenting processes, and asking questions to seek a comprehensive understanding of your role.
  • Highly detail oriented and be able to multi-task as needed.
  • Ability to interrupt work to respond to employee inquiries and/or higher priority tasks.
  • Well-rounded knowledge of Microsoft office with an emphasis on Excel as well as the ability to effectively manage and maintain your outlook.
  • Sage experience desired.
  • Practices ownership, takes accountability, and able to work independently with the mindfulness of achieving ultimate goals as a team.
  • Learns quickly, willing to ask for help and receive feedback.
  • Adaptable to a fast-changing work environment while able to work well under stress and tight deadlines.
  • Ability to handle confidential and sensitive information with discretion.
  • Ability to define problems, find solutions, and draw valid conclusions.
  • Ability to establish a good rapport with co-workers, outside employees, and clients while building professional relationships with a diverse payroll environment.
  • Self-starter, quick learner, and highly motived to succeed.
  • Work with urgency and awareness of higher priority tasks on a daily basis.

Job Type: Full-time

Pay: $25.00 - $35.00 per hour
