Summary of Position
We are seeking a dedicated and experienced Practice Manager to oversee the operational and administrative functions of our outpatient practice. This role is pivotal in upholding operational excellence through managing billing, client intake, patient scheduling, insurance credentialing, data reporting, and supporting other day to day operations while fostering a supportive and productive work environment for staff. The ideal candidate will have a strong background in healthcare administration, proven management experience, and a commitment to our core values. This role requires a strategic leader who can manage both people and processes, ensuring our practice runs smoothly and efficiently.
Essential Duties Responsibilities
Manage Billing:
- Oversee the billing process, including managing the company's systems for insurance and private payments.
- Address billing issues with the administrative team and work to improve the efficiency of the billing process.
Manage Client Intake:
- Supervise the client intake process, develop and implement procedures and protocols, and train intake staff to ensure high standards of client service.
Manage Insurance Credentialing:
- Oversee the credentialing process for therapists with insurance providers, maintain up-to-date records of insurance contracts, and ensure compliance with credentialing standards.
Data Management and Reporting:
- Organize and analyze reports to update leadership on key performance indicators (KPIs).
- Utilize data to identify areas for improvement and support decision-making.
Promote Company Culture:
- Foster a culture of openness and positivity within the clinical team.
- Lead by example, provide feedback and support to staff, and encourage professional development in line with our core values.
Minimum Requirements
- 5 years of experience in healthcare administrative work, including billing, patient scheduling, and insurance credentialing.
- 2 years of management experience.
- Proficiency with technology, including EMR systems, billing software, and project management tools.
- Knowledge of healthcare laws and regulations.
- Excellent time management and organizational skills.

- Tech Savvy: Ability to quickly learn and utilize new software programs (e.g., Google Workspace, EHR, Project Management Software).
- Math Skills: Competence in creating and interpreting spreadsheet data.
- Leadership: Ability to foster a cohesive team environment and manage performance effectively.
- Empathy and Cultural Sensitivity: Sensitivity to the needs of staff and clients, promoting a positive workplace culture.
Physical Requirements
- Ability to work in an office environment and engage in activities such as sitting, standing, and using a computer for extended periods.
- Flexibility to work on-site from Monday to Thursday, with an option for a half-day on Friday or a 50/50 hybrid schedule.
