HR Assistant

Organization Description:
Urban Alchemy is a nonprofit organization with the mission of transforming people and places through respect, compassion, and love to heal communities challenged by the intersection of extreme poverty, mental illness, addiction, and homelessness. The name Urban Alchemy references the process of spiritual and social transformation that our staff engage in – both internally and in practice with all members of the public. Since our founding in 2018, Urban Alchemy has grown into a thriving social enterprise with over 1,100 employees. We provide community outreach and engagement, temporary housing for people experiencing homelessness, mobile bathrooms and showers, and street cleaning services. Urban Alchemy currently operates in the San Francisco Bay Area, Los Angeles County, Austin, Texas, and Portland, Oregon. Position Summary:
The Human Resources Assistant is an essential part of the Human Resources team handling various administrative responsibilities related to the management of employees. This is a high-volume position with numerous garnishments, unemployment claims, National Medical Support Notices, and verification of employment requests that come in daily. This role will collaborate closely with Practitioners, Supervisors, payroll, and other HR team members to support various HR initiatives and projects. 
 

Qualifications


Position Specific:
•    Handle the processing of garnishment orders promptly and accurately, ensuring compliance with legal requirements and company policies
•    Respond to unemployment claim inquiries and requests in a timely manner, providing necessary documentation and information as needed
•    Respond to verification of employment requests on a timely basis
•    Facilitate the processing of National Medical Support Notices, collaborating with relevant parties to ensure accurate reporting and compliance with regulations
•    Provide general administrative support to the HR department, including data entry, filing, and maintaining HR records
•    Collaborate with the Human Resources Manager to assist in various HR projects, such as employee engagement initiatives, benefits administration, or recruitment efforts
•    Effectively communicate with internal teams and external agencies to address inquiries, resolve issues, and maintain positive relationships
•    Stay up-to-date with relevant labor laws, regulations, and industry trends to ensure the company's HR practices remain compliant
•    Handle sensitive employee information with utmost confidentiality and discretion inclusive of handling legally mandated request for records
•    Identify opportunities for process improvement and suggest ways to streamline HR procedures for increased efficiency
•    Maintain accurate and well-organized records, ensuring all HR-related documents are properly filed and accessible when needed

 


General:
•    Use emotional intelligence to effectively engage and connect with others
•    Attend orientation and any additional training required by Urban Alchemy or our funders
•    Follow all Urban Alchemy’s policies as well as the procedures
•    Perform other duties as assigned by direct supervisor

 

Position Requirements:
Position Specific:

•    2 years of HR administrative experience for a mid to large-sized company
•    Has essential knowledge of HR administrative duties; prior garnishment experience strongly preferred
•    Maintains strong organizational skills to manage multiple tasks efficiently and prioritize deadlines effectively
•    Possess exceptional attention to detail to ensure accurate completion of documentation and compliance with legal requirements
•    Excellent written and verbal communication skills to interact with colleagues, external agencies, and employees professionally
•    Has excellent computer skills and knowledge of how to use office software programs, including HRIS systems and Google Suite
•    Ability to identify and resolve issues independently or by seeking guidance when necessary
•    Ability to be resourceful with strong analytical skills with the ability to think creatively to solve problems
•    Ability to be a genuine team player with an interest in building community and authentic relationships
•    Ability to be comfortable in startup environment with high ambiguity
•    Enjoys paying attention to detail and being meticulous
•    Values being kind to teammates, employees, guests, and others
•    Bachelor’s degree or equivalent preferred

 


General:
•    Must be able to work compassionately and respectfully with people from all backgrounds
•    Must be prepared to deal with challenging circumstances related to serving people struggling with poverty, mental health, addiction, and/or homelessness
•    Must be able to obtain and maintain background clearance based on Urban Alchemy’s policies
•    This position requires the ability to use a smart phone or tablet to enter data
•    Lived experience with incarceration and/or homelessness strongly preferred
•    Driver’s license and a good driving record preferred

 


Physical Requirements:
•    Expected to work in all weather conditions
•    Walking: 1 hours
•    Standing: 1 hours
•    Sitting: 7 hours
•    Bending at Waist: Less than 1 hour per day
