What are the responsibilities and job description for the Accounts Payable / HR Assistant position at USA TOOLS?
The employee(s) will assist in providing administrative and technical support to the data systems, accounting department and the senior team with tasks vital to the success of the company and its employees. We are seeking multiple motivated, enthusiastic, and meticulous candidates to join our team. These positions are best suited for those with initiative, pays diligent attention to details, and can manage priorities to meet deadlines within established guidelines.
Primary Responsibilities (AP)
· Completes payments and controls expenses by receiving, processing, verifying, and reconciling invoices.
· Professionally responds to inquiries from internal and external customers/vendors
· Pays vendors by monitoring discount opportunities, verifying federal ID numbers, scheduling, and preparing checks, and resolving purchase order, contract, invoice, or payment discrepancies and documentation.
· Ensures credits are processed for all outstanding memos
· Possess overall comprehension of various processing procedures, account code structures, approval requirements, etc. for entry/payment processing to effectively manage cash flow.
· Makes logical and sound decisions, and keeps management apprise of potential problems/concerns.
Primary Responsibilities (HR)
- Maintains the integrity and confidentiality of human resource files and records
- Performs periodic audits of HR files and records to ensure that all required documents are collected and filed appropriately
- Provides clerical support to the HR department
- Conducts or assists with new hire orientation
- Assists with planning and execution of special events such as benefits enrollment, organization-wide meetings, employee recognition events, holiday parties, and retirement celebrations
Basic Qualifications:
Qualified candidates will possess the following skills and experience:
· Experience in accounting/HR roles and data processing
· Experience in data entry and working with Microsoft Office, PC Proficiency.
· Ability to effectively prioritize tasks in an environment with a heavy work volume with others in a team to meet individual and department goals.
· Experience working with, interpreting, creating data reports and Tracking Budget expenses.
· Excellent communication, organizational, and engagement skills.
Preferred Qualifications
- Microsoft Excel: 2 years (Preferred)
- At least 1 year of position related experience (on job or in school experience) (Preferred)
· At least one-two years of data related or analytical work experience. (Preferred)
