Program Coordinator
Position Description:
The Program Coordinator is a member of the Program Management Office (PMO) supporting a modernization and engineering contract for our DoD customer. They will be responsible for leading and executing all aspects of contract personnel onboarding, offboarding, privileged account coordination and tracking of Government Furnished Equipment (GFE). The Program coordinator will interact with the customer and program leadership to provide all contract team members with the access, tools, and resources they need to deliver in accordance with their job duties. They will also be responsible for reporting task status, issues, and recommendations for improvement during regular program meetings.
The ideal candidate will have excellent interpersonal skills, experience with process workflows, and provide end-to-end program management services using the current DoD customer processes, standard operating procedures and tools as defined in the customers operating guidelines and framework.
Duties include the following:
· Create, maintain, and organize contract personnel records and documents
· Track deadlines and due dates for contract personnel administration
· Update databases and process/workflow tracking systems related to contract personnel
· Communicate with contract personnel on an ongoing basis regarding the status of their administrative requests
· Collaborate with customer and partner stakeholders to provide onboarding, offboarding and ad-hoc administration support to contract personnel
· Create and update policies, processes and procedures related to program administration
· Escort or meet contract personnel at DoD facilities in Alexandria and Arlington in support of onboarding, offboarding and program administration
· Coordinate, train, and direct other contract team members who support onboarding, offboarding and program administration
· Provide reports for program management on the status of onboarding, offboarding and program administration
· Recommend process improvements, create/update Standard Operating Procedures (SOPS) and workflows
Position Requirements/Qualifications:
· Detail-oriented, organized, and proactive program administration
· Works independently to track, complete, and follow up on assigned tasks
· Communicate effectively with all levels of staff, external stakeholders, and the program customer
· Highly motivated, and able to work effectively on multiple tasks and priorities at once
· Have excellent oral and written communication skills
· Demonstrate the initiative to suggest improvements or innovations on assigned tasks
Knowledge and Experience
· 3 - 5 years of experience
· Secret Clearance
· Proficient with MS Word, Excel, PowerPoint, Outlook, and SharePoint
· Proficient with collaboration tools such as Trello and Jira
Desired Experience
· DoD experience
