Job Description
Responsibilities include, but are not limited to:
- Receive loan documentation for borrowers, guarantors and other information for commercial loan files.
- Review documentation for completeness; add exceptions and ticklers as needed.
- Scan documentation into specific categories and prepare proper indexing for ease of retrieval.
- Accurately and efficiently image and update various loan, credit and report-related documents received from numerous departments daily into imaging system.
- Review newly created digital documentation for completeness, accuracy and clarity.
- Prepare and maintain the tracking imaging control log.
- Organize and archive physical documentation that has been digitized for future retrieval as may be necessary for legal proceedings.
- Provide training for any authorized users with potential Smart Search problematic or research issues, including loan officers, administrative assistants, internal and external auditors and regulatory agencies.
- Provide feedback concerning document exceptions and/or deficiencies.
- Provide assistance, research, or training to other team members, including Lending and Credit teams, or internal and external auditors.
Required Skills:
- The ability to be trained and operate the bank imaging system. Must be trainable on any new technology-based systems that Valley Bank may migrate to in the future (such as nCino).
- Excellent computer skills including Microsoft Excel and Word, and strong keyboard skills.
- Demonstrated proficiency using electronic imaging technology and related storage requirements, image and document formats.
- Ability to identify loan documents so they are imaged and indexed correctly.
- Effectively use interpersonal and communications skills including tact and diplomacy and maintain a cooperative and professional manner with internal and external customers.
- Maintaining confidentiality of work-related information and materials.
- Strong attention to detail, accuracy and follow-through.
- Adhering to policies, procedures and quality controls.
- Must be self-motivated and able to properly and efficiently schedule workload to accomplish duties in a timely and efficient manner.
- High school diploma/GED and a minimum of one year of document imaging and record management experience with commercial documentation.
- Minimum 2 years' commercial banking/lending experience.
- Basic proficiency in Adobe Acrobat and intermediate proficiency in Microsoft Office including Outlook, Excel and Word.
- Familiarity with loan documents and prior experience in a scanning department, loan operations or Smart Search, Fortis or other imaging software is preferred.
