Job Summary:
Outstanding opportunity for an Order Intake Specialist to assist our team by overseeing the operations of our Order Intake department.
The Order Intake supervisor is responsible for managing a team of 8 employees and ensuring our insurance/benefit verification and prior authorization processes are running smoothly. They will assist with interviewing and hiring, will train new and current staff and will be responsible for reporting on department metrics.
Key Responsibilities
Manage, monitor and provide feedback regarding the performance of the Order Intake team via daily metrics including inputting orders into the system, insurance and benefit verifications and POD tracking
Become an expert and working Supervisor in all tasks associated with the processed of the department and the various software and spreadsheets utilized
Provide a daily list of orders for each employee to work on and ensure that the errors rate is minimal
Create an open line of communication/support with other departments including Dispatch, Billing, Product Specialists, Sales and Operations. Collaborate with other departments to resolve complex problems and improve processes.
Ensure urgent orders are processed as top priority
Assist in the interviewing process for Order Intake team personnel
Inspire and motivate employees to perform their best through positive encouragement, incentive initiatives and training
Perform employee performance evaluations
Maintain a positive and collaborative culture within the department
Ensure the team has proper updates and training regarding changes in departmental processes
Lead by example to exhibit the highest level of professionalism
Restructure and reorganize personnel and procedures as needed
Qualifications you must have:
College degree preferably in Business or Healthcare Administration
At least 3 years supervisory experience
Order intake or Durable Medical Equipment experience preferred
3 years in a medical office setting with Insurance Benefit, Billing and Pre-Authorization experience
Proficient data entry and Microsoft office skills
