What are the responsibilities and job description for the Project Executive position at Vantage Builders?
The Project Executive is responsible for the overall direction, completion, and financial outcome of construction-management projects; as well as directly supervising Project Managers, Project Engineers and Superintendents. The ideal candidate will serve as Vantage Builder’s representative and always have the company’s best interest in mind.
Essential Duties and Responsibilities
Project Management
- Management of all project team members (project managers, project coordinators, superintendents)
- Maintains 100% detailed hands-on knowledge of project requirements and deliverables
- Co-develops and approves project execution strategies, including budget, schedule, quality, safety and risk management strategies
- Accountable for project completion and financials, critical success factors, customer satisfaction results
- Guide multiple jobs and multiple job teams operationally in each phase including pre-construction, construction, closeout, and post construction services
- Reviews progress reports to assure on target cost, schedule, safety and risk management; directs course corrections when necessary
- Ensure that the project strategy is clearly defined and communicated. Drive the strategy throughout job
- Collaborate with estimating and purchasing in the upfront set up of projects to insure profitability, client satisfaction and the best subs for the job
- Communicate effectively with field team members as well as keeping them active in decision making
- Assume overall accountability for jobsite safety and quality
- Oversees the project document and procurement process ensuring the following are completed timely: RFIs, submittals, document control, as builts, PM meeting minutes, material delivery logs, Punch lists, weekly update reports, photos, time and quantity documentation, close out process documentation, etc.
Employee Development
- Mentor and coach PM's and project team to ensure their skills and capabilities are being developed
- Effectively motivate, lead, train and develop people
- Foster a culture of excellence and work environment which attracts/retains strong staff
- Comply with Standard Operating Procedures and suggest improvements; actively solicit feedback from team members to improve Operations
- Inspire staff to develop expanded capabilities and additional skills in order to position them for advancement within the organization
- Monitor PM development progress
Leadership/Management
- Must travel to and participate in industry events as requested
- Monitor staff workload
- Deal with day-to-day company operational issues such as staff needs, mitigate project related issues, and is the first point of contact for PM’s and PE’s when they require assistance
- Expectation for on-site inspections; conduct routine inspections of the job site weekly to verify work progress, safety, environmental compliance, quality and operational standards and specifications are being met
- Respond to customer complaints; evaluate and ensure a proper response is made by the Project Manager for all client complaints in a timely fashion. Analyze complaint trends and responds with appropriate operational corrective actions after conferring with Supervisor
- Conduct Project Manager meetings to effectively communicate and stay informed regarding WIP
- Responsible for reporting the status of each job and changes in job projection costs weekly
- Review and approve all PO’s prior to being issued to subs, approve all invoices
- Review current procedures and suggest potential areas for improvement
Sub-Contractor Relations
- Develop positive relationships with Trade Partners to assure qualified manpower and quality construction
- Promote positive subcontractor relations by dealing professionally and fairly with all subcontractors and vendors and continually instilling this philosophy in the project team
Client Relations
- Participates in the development, negotiation and execution of client and trade partner contracts.
- Key point of contact with owner and architect
- Formulate and develop contract terms with clients and communicate to project team
- Develop and maintain client and industry relationships at the appropriate level reinforcing VBI commitment to continuously address their needs and interests
- Assures and measures client satisfaction
- Supports business development activities by building relationships in business and personal networks and through community involvement events
- Possess strong presentation skills for client meetings when necessary

Knowledge, Skills and Abilities Required
- A bachelor’s degree in construction or engineering
- Must have training in OSHA’s construction safety regulations and environmental compliance regulations and an OSHA 30 certification
- Minimum of 15 years construction project management experience at the executive level, as well as supervisory experience
- High level of analytical ability and strategic thinking skills is required in order to find solutions to difficult human, technical or operational problems
- Works under general direction and exercises a reasonable level of independent judgment. Has some latitude for independent action. Errors would result in significant cost in time, money, quality, administrative and operational inefficiencies
- Able to read and analyze blueprints, specifications, proposals, and other documentation to prepare time, cost, and labor estimates for projects
- Complete understanding of cost estimating, budgeting, and forecasting
- Must have a valid driver’s license and acceptable driving record
- Strong skills in Microsoft Suite, Procore and Microsoft Project.
- Ability to achieve and maintain financial control and profit goals for assigned projects
- Must be people-oriented, always treating employees, vendors, and customers with respect
