What are the responsibilities and job description for the Administrative Assistant for Anesthesia Program position at VCOM - Auburn Campus?
The candidate will serve as the initial point of contact for the Master of Health Science in Anesthesia Program Department of the VCOM Auburn Campus and the public, professionals, and students of the Program.
This position requires the provision of high-quality executive support and includes: Excellent computer skills in Word, PowerPoint, Outlook, Excel, and other programs and the ability to learn new programs in a short period of time. As the position will require some analysis, full use of Excel is essentialand the ability to learn some features of Microsoft Accessis also required. Excellent organizational skills and the ability to multi-task and work in a busy environment. The ability to "turn around" correspondence, meeting minutes, and other documents in a short time is also required. the position also requires a positive attitudein meeting with students and the public, sound judgment in dealing with student and administrative issues, a high level of accuracy, accountability, and confidentiality and an excellent sense of discretion. Other duties related to general office support of the department.
Job Duties include:
Serve as the receptionist for the Program. Perform general office and administrative duties. Utilize Microsoft Word, PowerPoint, Outlook, Excel and the Internet proficiently. Create, access, and merge databases efficiently and accurately to provide information as required to support the Department and the College. Assist with travel arrangements and conference registrations. Assist with the monthly Faculty, Committee, and Advisory Council Meetings, as well as Student Disciplinary Conferences. Assist with Anesthesia Department meetings. Serve in the process of all Faculty Appointments. Prepare all correspondence by the Dean and Associate Dean including but not limited to correspondence with students, faculty, site personnel, clinical preceptors, hospitals, and the public. Coordinate on and off-campus events such as celebrations, faculty development meetings, student services workshops, administrative meetings, and additional clinical events. Prepare required monthly business financial reports including credit card reports. Assure records retention for documents for the Department based on established policy. Other duties as assigned.
