Position: Office Coordinator Location: Salt Lake City, UT Duration: 06 12 months Extendable
Job Description:
Greeting SVB employees, clients, guests, and all visitors - o the greeting process may include the preparation of security badges and arranging an escort for all visitors. o It also includes seating visitors and providing beverage services.
Providing a high level of proactive client care to visitors and SVB staff alike necessary to effectively represent SVB
Answering incoming and internal telephone calls thru the main office phone line
Acting as liaison with the property management in communications (such as general HVAC or Facilities building issues, porter/janitorial, may include the preparation of badges and coordinating contractor and vendor access)
Entering maintenance work orders into the designated work order system and following through to completion.
Entering EUS or maintenance work orders into the Helpdesk system and following through to completion.
Providing first line of defense in notifying the security office about maintaining safety and security of the premises
Working closely with onsite staff to continue R2O trials, such as preparing communication, assigning workstations, etc. Ultimately assisting with getting the office ready for Connected Workplace
Manage all Conference Rooms and Hotel Offices & Meet Up Rooms in the site to include o Scheduling use. o Meeting/Occupancy Validation (“Bed Check”). o Pre/Post Room Cleaning and AV Checks; assistance with connections; and o Provide Usage and User variance Reports.
Acceptance and delivery of courier and messenger packages to end users. Processing all outgoing packages and manage local courier providers.
Office Supplies Management & Pantry Services: o Inventory and Order Supplies, o Stock Pantry, Kitchen and Office Supply Points with amenities o Process invoices for the same.
Preparing and updating a Front Desk Manual and Denver SharePoint Site
Additional projects and duties as assigned Event Coordinator: One function of this position will be assisting with the planning and coordination of events for the office and be support for teams with/without onsite administrative support.
Understand requirements for each event.
Plan event with attention to financial and time constraints.
Book venues, schedule speakers, and support presentations and materials needed.
Research vendors (catering, decorating, musicians, etc)
Manage all event operations and be office point of contact for event planning.
Facilities Management: Coordinating contractor and vendor access and activities. Manage security systems and activities and perform LSM (Local Security manager) duties as assigned.
Maintain all office equipment and furniture in good working order.
Manage maintenance vendors, make repair calls and track downtime, Order and stock consumables (toner, paper, etc.), assist with maintaining all Critical Systems: Supplemental HVAC, UPS Maintenance, Plumbing & Electrical
Additional projects and duties as assigned by Facilities Office Manager
Job Types: Full-time, Contract
Salary: $20.00 - $22.00 per hour
