Job Summary
The Service Coordinator undertakes and performs a variety of support tasks and assignments to support office and field work performed by one or more Project Managers, Senior Project Managers and/or others as assigned. Liaison between Field employees and Accounting.
Essential Duties and Responsibilities
- Dispatch
- Receives calls from Customers and works with Field Supervisor to assign Technician.
- Opens work orders in Viewpoint.
- Communicates to customer on timeline for resolution.
- Schedules Technicians via Dispatch Board.
- Follows up with Technicians on resolutions.
- Reviews Notes for accuracy of scope completed.
- Ensures all cost and time is captured in Work order.
- Marks Ready to bill and/or helps with Billing.
- Communicates to customer of completed scope.
- Opens Quoted Jobs Work orders in the system with Budget.
- Works with Field Supervisor to assign technicians to complete quoted work.
- Preventative Maintenance
- Works with Field Supervisor to ensure Plan Services are scheduled meeting contractual obligations.
- Reviews and files inspection reports for each visit.
- Ensures that contractual obligations are met and clearly communicates what expectations are.
- Purchasing for Service
- Provides purchase order support to Purchasing.
- Reviews/updates/Reconciles open purchase orders for month end.
- Service Billing
- Reviews Work orders marked ready to bill in Viewpoint.
- Reviews notes and tracks down potential missing information.
- Keeps track of agreement costs and issues agreement billings to customers.
Required Experience
- Knowledge of basic office procedures and processes.
- Knowledge of the principles of file and records management.
- Knowledge of the basic principles of bookkeeping and/or accounting.
Educational/Certification Requirement
- High School Diploma or equivalent.
- Two (2) years of project assistance, project coordination, administrative assistant or closely related experience in a Construction, HVAC or related field.

Physical Demands
- Requires repetitive use of arms, hands, and fingers and / or prolonged periods of sitting, standing, bending, stooping, pushing, pulling, lifting, or walking throughout workday.
- Lifting up to 50 lbs. as needed.
- May be exposed to extreme weather conditions associated with jobsite visits and assignments.
Travel Required
- May be required to attend jobsite meetings, conduct jobsite tours and perform other jobsite functions.
