What you'll be doing....
The Retail team is seeking an Executive Assistant to support the Senior Directors of Atlantic North (NNE, NYC, and SNE).
Managing a dynamic executive calendar, maintaining sensitivity and confidentiality across all areas of work. Partnering with the Sr Directors on time management and a structured, but flexible calendar.
Coordinating meetings and preparing agendas with direction from the Senior Directors, while contributing opportunities for efficiency and effectiveness.
Managing contacts across partners and acting as an additional point of contact for the Market.
Partnering with other executive assistants across multiple functions.
Proactively bringing together the appropriate people and resources to support the territories.
Coordinating facilities/meals for meetings/training classes/events as well as Sr Director and Director meetings.
Supporting the email management, document approvals, and retention for the Sr Directors.
Planning, coordinating & implementing meetings, travel, and schedules in support of the Sr Directors. Managing travel arrangements and coordinating planning across various internal functions.
Performing other various administrative tasks according to standard procedures, compiling records, and maintaining files.
Helping in creating, revising, and disseminating google slide deck creation / preparation.
Processing department related invoices and expense reports. Coordinates follow-up on action items and reports that are due.
Maintaining updates to the Retail Employee email distribution lists and updates the Retail Email groups in Gmail.
Understanding organizational policies and procedures as necessary to ensure appropriate protocols are followed.
Scheduling All hands at least 6-8 weeks in advance and presenting agenda during the meeting.
Scheduling Partner meetings in advance. Scheduling recurring Partner meetings.
Where you'll be working…
In this hybrid role out of Basking Ridge, NJ. You'll have a defined work location that includes work from home for 3 days and assigned office days for 2 days a week (8 days per month).
What we’re looking for…
You’ll need to have:
A Bachelor’s degree or one or more years of work experience.
Willingness to work a hybrid schedule as set by your manager based out of a hub location.
Even better if you have one or more of the following:
A degree.
Project management experience in the areas of strategic thinking, managing competing priorities, and a proactive mindset.
Executive support experience.
Proficiency in Google’s G-Suite (e.g., Docs, Sheets) and Microsoft Office Suite (Word, Excel).
Experience with facilitation and communication across all levels of the organization.
Proficiency in verbal and written communication.
Experience collaborating with internal and external partners.
Experience building relationships with large complex teams in a high-performance environment.
Five or more years of administrative experience.
Experience with budget management and/or travel logistics, event planning.
Experience working well independently and under pressure.
