SUMMARY

The Office Manager is charged with managing general office functions and Accounts Receivable responsibilities for the warehouse. The primary responsibility of this role is to ensure general operations are efficient, in compliance with Company policies and meet state regulations. This role requires a general knowledge of business operations including specialized knowledge of basic accounting principles and is both external and internal facing and requires a high degree of relationship management and confidentiality.

Note: This role is 80% Accounts Receivable and 20% Office Management. This role is not a remote position.

Essential Functions (This list may not include all duties as assigned):

Accounts Receivable

  • Posts daily deposits and ensures application is proper.
  • Processes incoming mail/e-mail concerning billing and invoicing.
  • Communicates with clients about billing discrepancies and questions.
  • Assures timely collection of monies due to corporation.
  • Assures timely and accurate invoicing.
  • Manages cash application making sure all cash receipts are applied properly.
  • Manages customer setup in the receivables systems.
  • Monitors and reports on deviations from credit standards.
  • Processes customer refunds and credits.
  • Makes recommendations to improve quality of invoicing and collection procedures.
  • Responsible for weekly reporting of invoicing totals/aging totals/cash receipts/invoice adjustments.
  • Supports Accounting initiatives.
  • Defines productivity goals and monitors and reports results.

Administrative Support

  • Provides general support with various administrative tasks such as answering phone calls and running reports as requested.

Office and Equipment management

· Manages general office operations to ensure prudent use of Company resources, safety, efficiency, availability, and follow-up for customers and staff.

· Orders and maintains office supplies.

· Maintains list of Company assets and monitors health of office equipment; Manages appropriate vendors as needed.

· Responds to facility issues in a timely manner.

Other:

· Performs other duties, as assigned.

REQUIRED SKILLS:

· Bachelor’s degree in Business, Accounting, related field or equivalent job experience.

· 5 years’ of Accounting experience required.

· 5 years’ experience in credit and collections.

· 3 years’ experience in office management.

· Excellent knowledge of Microsoft Office including proficiency in Excel.

· Working knowledge of GAAP principles, accounting transactions, schedules and financial reports.

· Excellent analytical skills, written and verbal communication skills.

· Ability to quickly adapt to changing priorities.

· Knowledge of Netsuite or similar software is a plus.
