Incumbent serves as Deputy Clerk for the Vigo County Clerk's Office, responsible for preparing and maintaining accurate court records, and assisting the public.
Examples of Duties
- Answers telephone and greets office visitors, determining nature of call, responding to inquiries, providing information and assistance, taking messages, and/or directing to appropriate individual or department.
- Completes Court documents for assigned Courts, including processing incoming and outgoing mail in courts, and filing loose files and filings.
- Prepares and compiles new case files, including file making Court documents, and assigning case/cause numbers. Gathers and prepares case histories.
- Processes various Court orders, including, but not limited to, preparing orders received from Courts and providing copies of orders and distributing to all involved parties. Prepares and prints chronological case summaries (CCS).
- Processes various documents, including, but not limited to, summons, subpoenas, proceeding supplements, warrants, petitions, motions, estates, and appeals.
- Maintains files and filing system, including maintaining files in chronological order.
- Maintain order book and provides quarterly statistics.
- Performs various clerical duties, such as typing various documents, conducting data entry and retrieving mail and distributing as required.
- Assists with Election process and related duties.
- Receives and receipts various fees.
- Performs duties of co-workers as needed or to maintain department operations.
- Performs related duties as assigned.
Typical Qualifications
- High school diploma or GED.
- Ability to meet all employer and Department hiring requirements, including passage of a drug test.
- Working knowledge of standard office procedures and computer software programs used by the Clerk's Office, with ability to apply such knowledge to a variety of interrelated processes, tasks and operations.
- Working knowledge of standard policies, practices, and legal requirements of the Department, with ability to effectively process various court documents, and apply appropriate procedures accordingly.
- Knowledge of standard English grammar, spelling and punctuation, and ability to prepare correspondence and written reports as required.
- Knowledge of basic filing systems and ability to create and maintain accurate and complete Department files.
- Ability to properly operate standard office equipment, such as computer, calculator, fax machine, copier, and telephone.
- Ability to effectively communicate orally and in writing with co-workers, other County departments, and the public, including being sensitive to professional ethics, gender, cultural diversities and disabilities.
- Ability to provide public access to or maintain confidentiality of department information and records according to state requirements.
- Ability to comply with all employer and department policies and work rules, including, but not limited to, attendance, safety, drug-free workplace, and personal conduct.
- Ability to understand, memorize, retain, and carry out written and oral instructions and present findings in oral or written form.
- Ability to compare or observe similarities and differences in data, and compile, collate, or classify data.
- Ability to work alone with minimum supervision and with others in a team environment.
- Ability to work on several tasks at the same time and work rapidly for long periods, often under time pressure.
- Ability to apply knowledge of people and/or locations, and plan and layout assigned work projects.
- Ability to perform arithmetic calculations.
- Ability to occasionally work extended, weekends, and/or evening hours for Elections.
Supplemental Information
Incumbent maintains frequent contact with co-workers, other County departments, law offices, and the public for purposes of exchanging information.
Incumbent reports directly to Deputy Clerk Supervisor - Main Office or Deputy Court Clerk Supervisor.
Incumbent performs duties in a standard office environment, involving sitting/walking at will, lifting/carrying objects weighing less than 25 pounds, pushing/ pulling objects, bending, reaching, crouching/kneeling, close vision, keyboarding, handling/grasping objects, speaking clearly, and hearing sounds/communication. Incumbent occasionally works extended, weekends, and/or evening hours for Elections.
